About the role

The Administrative Assistant provides essential administrative and clerical support to the dean, chair, faculty, staff, student workers, and guests of the School of Communication & the Arts. This role requires the ability to work independently with good judgment and discretion while contributing to a collaborative and welcoming office environment.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Administrative Assistant II serves the Department of Strategic & Personal Communication.

  • Maintains Department Chair's schedule and coordinates appointments.

  • Greets visitors and provides professional, courteous assistance.

  • Performs clerical duties including filing, typing, answering phones, and managing email correspondence.

  • Schedules and coordinates events such as CFAW, Experience LU, graduation, and other departmental functions.

  • Schedules, records, compiles, transcribes, and distributes minutes of meetings.

  • Submits and tracks all facilities work orders, print shop orders, and IT Service Tickets.

  • Reserves rooms using 25Live.

  • Maintains a clean and organized academic office environment.

  • Trains and becomes proficient in Liberty University systems and software.

  • Supports and supervises HR hiring procedures.

  • Performs other duties as assigned.

  • Collaborates effectively as a team member, embracing and fostering LU’s Christian model and Mission – Training Champions for Christ.

Admin I

  • Submits key/badge access for others.
  • Provides training as needed to department employees for administrative processes.
  • Maintains a positive workplace environment.
  • Orders and maintains office supplies and equipment in BuyLU.
  • May use Workday to hire student workers and GSAs and approve student worker time.
  • May have procurement duties and check budgets in Banner.

Admin II

  • Manages hiring process for student workers and possibly GSA/TA, staff, and faculty in Workday.
  • Enters/updates courses and programs in Courseleaf and may possibly enter faculty into FAT for classes and possibly handle catalog edits and course legislation.
  • May assist in processes related to faculty qualifications.
  • Approves time/absences in Workday for student workers and staff.
  • Oversees procurement tasks and manages budgets in Banner and Anaplan.
  • Performs tasks supporting the department and School of Communication and the Arts, including duties typically assigned to an Administrative Assistant I as needed.

SUPERVISORY RESPONSIBILITIES  

Admin II: Supervises student workers and may approve time for staff.

QUALIFICATIONS AND CREDENTIALS

Education and Experience

Admin II

  • 3-5 years administrative experience with finance/business and personnel management and bachelor’s degree required; OR 5-10 years office/administrative experience with finance/business and personnel management.
  • Some college attendance or professional work experience in a higher educational setting required. Prior experience with Liberty University systems is helpful.
  • Proficient in Microsoft Suite (Word, Excel, PowerPoint, Teams, Outlook).
  • Excellent organizational and problem-solving skills and previous event planning experience required.

ABILITIES AND COMPETENCIES ESSENTIAL TO THE FUNCTION OF THE JOB

Communication and Comprehension

  • Ability to effectively communicate in English both verbally and in writing to convey clear, well-articulated information in a professional manner on e-mail and MSTeams.
  • Possess public communication skills that allow professional representation of Liberty University. Able to be a team player but exercise initiative and good judgment.
  • Able to set priorities and manage multiple tasks with efficiency and good organizational skill.
  • Computer skills, Microsoft Office, and Outlook 365/calendar proficiency required. Must have a working knowledge of Excel and become proficient at new systems.

Problem Solving

  • Intuitively able to reason, analyze information and events, and apply judgment to solve problems of both a routine and complex nature.

Physical and Sensory Abilities

  • May be required to travel.
  • May be required to sit to perform deskwork or type on a keyboard.
  • Regularly required to hear and speak to effectively communicate orally.
  • Regularly required to stand, walk, and climb stairs to move about the campus.
  • Handle materials, reach overhead, kneel or stoop to conduct business.
  • Regularly lift ten or fewer pounds
