SummaryThe People Operations Coordinator’s primary function is to be a liaison for both People Operations Consultants and Onboarding workflow. This role will partner with POCs and Onboarding to resolve and coordinate the administrative tasks and logistical details for onboarding new hires and moving candidates through the pre-hire process. The coordinator will also assist the POC team with resolving lower-level Jira tickets and the AskHR mailbox. The coordinator will provide a high level of customer service to both internal and external customers while identifying and anticipating needs from both departments to maintain business continuity and streamlined workflow. The coordinator will also partner with cross-departmental partners including the sales team (trainers), talent acquisition (recruiters), benefits (total rewards), and payroll. This role will be HUB and Core involved
ScopeWorks on problems of limited scope. Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained. Work is reviewed periodically based on a set of defined procedures or precedence. Normally receives general instruction on work and new assignments.

Responsibilities

  • Ability to organize and manage a high candidate volume
  • Ability to maintain confidential files and records
  • Data management with strong attention to detail
  • Data Entry with accuracy for I-9 verification and other sensitive documents
  • Responds to, and efficiently resolves, inquiries from employees and managers relating to HR
  • policies and programs, maintaining strict confidentiality as needed
  • Experience with or ability/interest to become a super user of various HR Systems
  • Partners and collaborates effectively across HR and with other relevant operational staff (HR
  • Managers, Recruiting, Benefits, IT, Legal, etc.)
  • Appropriately tracks and manages inquiries and requests from employees and HR colleagues in
  • relevant systems; adheres to established service level agreements
  • Understands and triages sensitive issues requiring additional escalation; Proactively engages
  • other stakeholders to inform decisions.
  • Offboard employees when they leave the company, coordinating with Facilities, IT, and payroll
  • to ensure all systems are turned off and final payment has been issued according to applicable
  • state law
  • Partner on hire onboarding; communicating and ensuring new hire paperwork is filled out

  • Participates as a representative on relevant projects and initiatives when requested
  • Provide coordination support for the onboarding program’s evolution from the current all-
  • remote format to live in-region training based out of your region’s hub
  • Coordinate the shipping of hardware and swag for new hires
  • Manage the different onboarding tasks that each new hire has to complete, making sure that nobody is bottlenecked at any part of the process
  • Follow up with new hires on pre-hire information, first-day information, and similar
  • Field questions and address issues for the variety of users you’ll work with: teammates, partners on other teams, and orientation leaders Knowledge, Skills, and Abilities
  • Comfortable working within a fast-paced, complex, dynamic environment with multiple organizational cultures; comfortable with multi-tasking requirements
  • Experience developing and managing efforts related to employee engagement
  • Strong computer literacy and advanced skills in Microsoft Office. Advanced Excel use is required.
