QC Lab Co-ordinator

This is what you will do:
The QC Co-ordinator will support the Vendor-Managed Inventory (VMI) process at ADMF, ensuring the availability of necessary lab consumables, managing purchase orders, receiving lab consumables and other purchases, handling invoices, and overseeing the procurement process. Additionally, you will be responsible for managing the P-Card (Procurement Card) for Quality Control activities and will support with controlled form issuance and reconciliation as required.
You will be responsible for:
- VMI Process Support:
- Collaborate with vendors to ensure the seamless functioning of the Vendor-Managed Inventory system.
- Monitor and analyze stock levels to anticipate and prevent shortages.
- Work closely with the QC team to identify and address any VMI-related issues.
- Lab Consumables Procurement:
- Source and procure lab consumables that are not covered by the VMI process.
- Ensure that alternative supply is included on the Approved Suppliers List, is qualified for use, and meets all rqeuireemnts for cross-border customs, special licencing (e.g. products of animal origin), and safety requirements such as Material Safety Data Sheet (e.g. toxic chemicals, biologic materials).
- Purchase Order Management:
- Generate and process purchase orders for lab supplies and equipment as required.
- Coordinate with internal stakeholders to gather necessary information for accurate PO creation.
- Track and manage POs to ensure timely deliveries.
- Receiving and Inventory:
- Receive and inspect lab goods, ensuring that they meet requirements
- Maintain an organized and efficient lab inventory system.
- Collaborate with relevant teams to address any discrepancies or issues with received items.
- Invoicing:
- Manage the invoicing process, verifying accuracy and compliance with established procedures.
- Work closely with finance teams to resolve any discrepancies or issues.
- Assist in budget tracking and reporting related to lab procurement activities.
- P-Card Management for QC:
- Act as the primary point of contact for the P-Card related to Quality Control activities.
- Ensure P-Card transactions are in compliance with company policies.
- Reconcile P-Card statements and provide necessary documentation for auditing purposes.
- Supporting Reagent Sourcing for QC:
- Work with QC teams to support regulatory/incountry reagent sourcing requirements.
- Controlled Form Issuance and Reconciliation:
- Support the issuance and reconciliation of controlled forms as required.
- Ensure adherence to regulatory and company policies related to controlled forms.
You will need to have:
- National Framework of Qualifications (NFQ) Level 5 (e.g. Leaving Certificate).
- Strong organizational and multitasking skills.
- Excellent communication and negotiation abilities.
- Proficient in using procurement software and Microsoft Office Suite.
We would prefer for you to have:
- NFQ Level 6 or higher in Business Studies, Purchasing, Procurement, Pharmaceutical Quality Systems, Life Sciences or equivalent.
- Proven experience in procurement, or a related field.
- Familiarity with laboratory processes and consumables.
