As an Executive Assistant, you will be a proactive and motivated self-starter, adept at working independently while prioritizing and anticipating the needs of the executive you support. You will serve as a crucial liaison between the executive and various internal and external stakeholders, ensuring seamless communication and trust.
The ideal candidate will demonstrate a high level of integrity and discretion in handling sensitive information, maintaining professionalism while interacting with leaders across the organization. You will be flexible, quick-thinking, and able to adapt to changing priorities while managing diverse responsibilities with precision and a keen attention to detail.
WHAT YOU WILL BE DOING
- Manage complex calendars, coordinating and confirming meetings both internally and externally with a strong emphasis on confidentiality.
- Handle sensitive information with exceptional judgment, discretion, and confidentiality.
- Organize conference calls and meetings, managing all related technology tools, including A/V setup.
- Arrange travel and accommodations, prepare and track expense reports, and monitor budget vs. actuals.
- Prepare and distribute meeting agendas, maintain distribution lists, manage incoming and outgoing mail, order office supplies, and address office equipment issues.
- Collaborate in the planning, development, and implementation of team goals, ensuring clear communication throughout the process.
- Research, compile, assimilate, and prepare documents, providing briefings to executives on key content.
- Lead and coordinate specific projects as directed by leadership, ensuring effective communication with all stakeholders.
- Provide support at company events, enhancing the experience for all participants.
- Prepare memos, letters, and other documents utilizing various software applications, ensuring clarity and professionalism.
- Draft outlines and presentations for executives, ensuring alignment with their communication style and objectives.
WHAT WE NEED FROM YOU
- 1-2 years of experience as an Executive Assistant, with a strong focus on confidentiality and communication with executive leadership.
- A proactive approach with excellent attention to detail, ensuring high-quality support.
- A passion for supporting others while confidently taking ownership of initiatives when required.
- Superior communication and organizational skills, facilitating effective interactions across all levels of the organization.
- Adaptability to handle unexpected challenges with composure and a positive attitude.
- Strong interpersonal skills, capable of building relationships and earning trust with teams from junior to senior levels.
- Experience coordinating projects with cross-functional teams, ensuring clear communication and collaboration.
- Ability to maintain focus on both the big picture and intricate details, solving complex problems with keen instincts.
- Proven ability to meet deadlines in a fast-paced, rapidly changing environment.
- A willingness to learn and grow, embracing opportunities for improvement.
- High school diploma is required.
- Onsite attendance is mandatory.
