JOB DESCRIPTION:
Summary/Objective
To serve as the focal point of support and assist multiple Senior Leaders as well as other employees in the respective departments group, by performing complex and confidential administrative duties, as well as project-related activities, associated with the team’s needs on a daily basis, striving to meet the goals of the company.
Essential Functions

- Prepare routine and advanced material (memos, presentations, legal documents, scorecards), including confidential and time-sensitive information. Gather, analyze and compile data for reports, spreadsheets, charts, and business updates.
- Collect marketing information (operators, car builders, competitors) of designated countries from but not limited on internet, railroad associations, conferences etc.
- Project Administration – Support project leads as necessary to prepare and maintain project documentation, files, etc.
- Travel Arrangements - Arrange all aspects of travel (airline, railroad, hotel, car rental, meeting rooms) for 3 Senior Executives.
- Concur Travel & Expense System - Prepare expense reports, as requested, for the 3 Senior Executives.
- Department Budget - Track budgets vs. spend, and prepare requested reports
- Perform a wide variety of other tasks: schedule meetings/set up conference & training rooms (internal & external); coordinate lunches/breaks for Kaizen & Scrum-related events, as well as in-house meetings, training classes and other employee/visitor luncheons; basic instruction, care and maintenance of office equipment; receive and distribute incoming mail.
Skills and Competencies
- Advanced Microsoft Office applications, as well as other software programs specific to the business (i.e., SRM, SAP, PPM); creative ability in developing charts, spreadsheets, reports and graphic presentations
- Uphold a strict level of confidentiality
- Strong organizational skills and follow-through / detail-oriented
- Ability to multi-task and prioritize assignments in order to meet deadlines
- Project management and problem-solving skills
- Event Planner / Meeting Coordinator
- Excellent interpersonal and communication skills are required to build strong working relationships with staff level managers, suppliers, customers and other employees
- Proficient at data collection, analysis and presentation
- Teamwork/team player – working with others to build a positive climate and trusting relationships within teams
- Self-motivated / Ability to exercise a significant amount of discretion and independent judgement; a resourceful mindset for accomplishing objectives
- Adaptability & Flexibility, including the ability to work successfully in various, complex, changing and challenging environments, and with diverse people
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
The employee will be required to perform duties on a computer terminal, in an office environment. The employee may be exposed to shop floor conditions; i.e. noise, heat, cold, dust/dirt, etc.

The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of an office work environment position.
Required Education and Experience
Associate Degree in Business or Related Field
