An opportunity has arisen for an enthusiastic Team Assistant with excellent interpersonal skills and a can-do attitude to work in-house. We are looking to hire a highly organised Team Assistant who is keen to gain experience in a fast-paced global organisation. The primary responsibilities of this role is to support the Director with legal entity information required for licensing applications, support with administration of the Group’s global subsidiaries, and provide general administration support to the Company Secretarial team.
What you’ll do
- Manage Company Secretarial workflows for Flutter’s licensing applications and renewals in various jurisdictions in line with the nuanced demands of the various Flutter Compliance teams. This will include reviewing and understanding the specific requirements, overseeing that the correct Board approval is obtained and collating/completing all required documents/actions for the relevant entity and its governance framework
- Manage the primary company secretarial inbox, respond to technical Company Secretarial questions including offering solutions, collaborating with internal and external collaborators, and advancing when needed. Additionally, coordinate the notarization, apostille, and legalization of documents by scheduling appointments with local embassies or consulates as needed.
- Coordinate KYC requests, collate documents, Group Structure chart extracts, Director information, company registers and completion of necessary KYC forms.
- Coordinate meetings for the subsidiary Board, align submission deadlines with relevant collaborators, and compile and distribute Board packs using Diligent Boards;
- Manage the quarterly legal entity certification process;
- Coordinate the quarterly Group Structure chart and Governance Tracker process issuing to internal teams along with related policies.
- Act as Administrator for the Group’s legal entities database – Diligent Entities, including setting up new users and assisting with password resets.
- Invoicing, raising PO numbers, and liaising with accounts payable team and suppliers;
- Support with Board meeting logistics, including travel arrangements, diary invites, liaising with third party suppliers;

- General filing, scanning, storing of documentation (hard copies and electronic) and maintenance of company seals;
- Ad-hoc support with PowerPoint presentations;
- Assist with additional projects and tasks related to Group Secretariat function as directed by Deputy Company Secretary or Board Secretarial Manager.
How you’ll do it
- Excellent communication skills both oral and written (English) with the ability to interact professionally with senior executives across the Group;
- Highly organised and ability to prioritise effectively;
- Confident working with confidential information;
- The ability to stay calm under pressure with a mature outlook and approach;
- Experience working within a fast-paced organisation;
- Ability to work autonomously and collaboratively in a team environment and willingness to learn and adapt in a dynamic setting;

- Strong team ethic and willingness to support team members to meet deadlines where relevant;
- Computer literate (Word, Excel, PowerPoint, Access, Visio, Oracle Financials).
