Position Summary
The Clinical Support Coordinator provides comprehensive administrative and operational support for the clinical phase of the Weill Cornell Medicine Master of Science in Health Sciences for Physician Assistants Program. This role assists the Director of Clinical Education, Assistant Director of Clinical Education, and clinical faculty with the coordination, tracking, and documentation of clinical rotations, student placements, site communications, and compliance requirements, ensuring that all clinical education activities meet ARC-PA accreditation standards and institutional policies.
Job Responsibilities
- Coordinate the scheduling and confirmation of clinical rotations for PA students in collaboration with the Director of Clinical Education, Assistant Director of Clinical Education and clinical faculty.
- Serve as a liaison between the PA program and clinical sites, maintaining effective communication with preceptors, site coordinators, and affiliate institutions.
- Track and maintain clinical affiliation agreements, student credentialing documents, immunizations, and background checks.
- Manage clinical education databases and systems (e.g., Oasis, EXXAT, Canvas or similar) for logging student rotations, evaluations, and site information.
- Monitor student compliance with clinical site requirements, accreditation standards (ARC-PA) and institutional policies.
- Troubleshoot issues related to student placements, site logistics, or system access.
- Assist clinical faculty in preparing clinical course materials, handbooks, evaluations, and orientation content.
- Provide administrative support during site audits, accreditation reviews, and program assessments.
- Maintain organized digital checklists and ensure accurate documentation and maintenance of all student records and materials related to clinical education.
- Assist with data collection and reporting for program outcomes and continuous quality improvement efforts.
- Support summative exam administration, EOR exams and proctoring as needed.
- Provide administrative committee support, including attending curriculum committee meetings, other assigned meetings and recording minutes.
- Serve as primary point of contact for faculty and students during the clinical phase of the program, providing timely support, guidance, and assistance to ensure effective communication, coordination, and resolution of academic or operational concerns.
- PAEA liaison responsible for ordering and assigning all PAEA exams (EOR, PACKRAT, EOC).
- Monitor and track compliance of all preceptors required documents and maintenance of CME documentation.
- Perform other duties as assigned to support the overall success of the department and organization.
Education
- Bachelor’s degree in a related field (e.g., healthcare, education, administration).
Experience
- 3+ years of administrative experience in higher education, healthcare, or academic program support, preferably within a graduate-level medical or allied health program.
- Experience coordinating course logistics, managing schedules, and supporting faculty and students throughout the academic term.
- Familiarity with learning management systems (e.g., Canvas), student information systems (e.g., Oasis, Exxat, ExamSoft), and electronic filing platforms.
- Experience supporting academic events such as clinical orientation, skills labs, course evaluations, and student onboarding.
- Background in handling logistical tasks including room reservations, instructional material prep and attendance tracking.
Knowledge, Skills and Abilities
- Proven ability to manage sensitive student records, prepare academic materials, and ensure timely distribution of syllabi, exams, and course communications.
- Strong understanding of clinical curriculum operations in a graduate health professions program.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and collaboration platforms like Microsoft Teams.
