Job Purpose and Impact
The Administrative Assistant role will deliver a wide range of administrative services and work with team members across the business. In this role, we seek a professional with strong attention to detail, organization skills, and the ability to manage deadlines / multi-task and work well under pressure. This role will support 3 business leadership team members and provide backup support for other admin team members, as needed. Leadership support will consist of heavy Outlook calendar management (setting up Teams calls with team members across the business and working with other administrative assistants around the globe to coordinate meetings), assisting with Microsoft Teams, and creating Microsoft Word documents and Microsoft PowerPoint presentations. Support will only consist of travel booking (including international travel) and expense reconciliation. Also, will provide on-site general administrative support to our staff in our Olathe, Kansas office (around 50 people). Helping teams on site with catering orders, meeting room set up / technology assistance, and greeting visitors. Also helping to order supplies, assist with badge credentials, parking passes, etc.
Key Accountabilities
• Apply detailed knowledge of department operations and infrastructure, policies, and procedures to perform moderately complex administrative processes.
• Schedule and coordinate meetings, diaries, and travel arrangements.
• Solicit, collect, and organize documentation and data to perform moderately complex data entry into one or more systems.
• Plans, coordinates, and confirms logistics for more complex meetings and travel.
• Help to coordinate on-site leadership meetings including (agenda coordination, hotel bookings, conference room reservations, catering, etc.). Likely taking meeting notes and action items
• Handle complex clerical, administrative, technical, or customer support issues under minimal supervision, while escalating only the most complex issues to appropriate staff.
• Other duties as assigned
Position Information
• The position Is open in Olathe, KS.
• Relocation assistance is not provided for this role.
• The schedule for this role requires a minimum of 2 days per week working in our Olathe office (3 days per week is preferred)
Qualifications
Minimum Qualifications
• High school diploma, secondary education level, or equivalent
• Minimum of four years of related work experience (Administrative Assistant, Project Management, Event Planning, Customer Service, etc.)
• Associate’s degree in a related field or equivalent experience
• Ability to work 2 days a week on-site in an office environment (3 days a week is preferred)
• Experience with Microsoft Programs (PowerPoint, Word, Excel, Teams, Outlook)
Preferred Qualifications
• Prior Executive Assistant experience
• SAP Concur Experience
• Expert Knowledge of Microsoft Programs
• Bachelor’s degree in a related field or equivalent experience
