Job Corps is the largest nationwide no-cost residential career training program in the country and has been operating for more than 50 years. With a mission to “attract eligible young people, teach them the skills they need to become employable and independent and place them in meaningful jobs or further education,” the program helps eligible young people ages 16 through 24 complete their high school education, trains them for meaningful careers, and assists them with obtaining employment. Job Corps has trained and educated over two million individuals since 1964.

Administrative Assistant -Social Development Clerk
Reports to the Social Development Manager/Director and is an hourly, non-exempt position. Provides clerical support to management through conducting and organizing administrative duties and activities, including receiving and handling information as it pertains to the Social Development department. Demonstrates ongoing commitment to preparing young people for the workforce by modeling, mentoring, and monitoring excellence in the eight Career Success Standards of workplace relations and ethics; information management; communications; multicultural awareness; personal growth and development; career and personal planning; interpersonal skills and independent living.

Duties:

  • Demonstrates and abides by Aleut Core Values
  • Perform Administrative Assistant duties including preparation, typing, and management of correspondence, special reports, and documents on a desktop
  • Maintain appointment calendar and schedule
  • Organize and coordinate meetings, take notes, type, and distribute
  • Composes and prepares routine correspondence 
  • Act as liaison between the Social Development Director and other departmental or center
  • Independently prepares recurring reports for review
  • Sends and retrieves messages via email
  • Faxes and retrieves incoming messages
  • Performs system backup procedures 
  • Receive and handle incoming mail and handle outgoing mail and maintain follow-up dates for action
  • Assists the Director with preparations and arrangements 
  • Establishes and maintains confidential files 
  • Proofreads and corrects grammatical, punctuation, and spelling
  • Answers telephones and directs calls to the appropriate person. 
  • Orders necessary office supplies
  • Operates office machines and instructs others in the operation
  • Assists in the training of new clerical
  • Answers center telephone at reception
  • Attends in-service training
  • Cultivates and maintains a climate in the center that is free of harassment, intimidation, and disrespect to provide a safe place for staff and students
  • Communicates and consistently models appropriate CSS and employability skills including personal responsibility 
  • Maintains accountability of staff, students, and property, adheres to safety practices in all areas
  • Performs other duties assigned

 Education and Experience Requirements

  • High School graduate or GED
  • At least three years of practical experience
  • Prefer a two-year business college degree.
  • Valid driver’s license in state of employment with an acceptable driving

Additional Requirements: Type accurately at a fast speed. Proficient in operating a personal computer.   Working knowledge of software applications such as Microsoft Word, Excel, etc. Thorough knowledge of office procedures. Good organizational skills. Excellent communication skills, both oral and written. Sound telephone techniques. Ability to deal effectively with the public and government officials. Ability to proofread and correct grammatical, punctuation, and spelling errors. The position requires the ability to operate office equipment. In addition, individuals must be able to interact with team members and maintain an effective working relationship with all facility staff and departments.

Working Conditions: This position involves frequent sitting, standing, and walking. Occasionally, the position involves bending, stooping, carrying, and squatting. Applicant must be able to see, hear, and speak.
