Description
We are seeking a Board Admin to work on a part-time basis, around 20 hours per week. This position has variable work hours and is a combination of day and evening hours (board and committee meetings).Summary
To provide accurate, timely and confidential administrative support services to the Board of Directors and CEO.
Position Responsibilities
Board Support
- Offer consistent and respectful interactions with members of the Board to assist them in the efficient and effective execution of their duties.
- Attend monthly board meetings and record minutes.
- Transcribe minutes and distribute them for board approval.
- Work with Board President to develop board calendar, monthly agendas and manage task list.
- Aid board committees as assigned.
- Maintain the official archive of board materials including, but not limited to, minutes, motions, bylaws, articles of incorporation, policies, conflict of interest statements, election materials, board communications as identified.
- Prepare board materials for new board members and ensure their working knowledge of technological resources (Office365, SharePoint, conference calling, video conferencing, etc.)
- Work with Nominations committee as assigned, to collect nominations, coordinate background checks, and coordinate ballot and voting materials with the PFC Marketing Director.
Executive Support
- Assist CEO in preparation and distribution of materials to the Board and its committees.
- Provide project-based assistance as assigned.
Requirements
Skills and Abilities:
1. Demonstrated proficiency with Office365, Microsoft Work, basic phone and video conferencing systems
2. Clear understanding of and ability to maintain confidentiality
3. Strong organizational skills & keen attention to detail
4. Basic copy-editing skills
5. Basic excel skills
6. Ability to record accurate information while listening to meetings by phone and web conference
7. Ability to list to discussions and then distill information
8. Ability to work within established parameters to ask questions as appropriate
9. Demonstrated communication and listening skills
10. Flexible availability that includes periodic evenings and infrequent weekend commitments
11. Ability to travel to attend meetings in either La Crosse or Rochester
12. Demonstrated ability to follow through on commitments
13. Hold a valid driver’s license Physical Requirements:
The physical requirements described here are those that an employee must meet, with or without reasonable accommodation, to successfully perform the essential functions of this job.
1. Ability to use computer keyboard, monitor, mouse, telephone, and various office equipment continuously.
2. Ability to lift and carry up to 30 pounds frequently.
3. Ability to stand or walk for 2 hours without rest.
4. Ability to talk and hear to communicate with customers.
