Job Description

The Portfolio Specialist reports into the Technical Operations PMO within the Quality & Program Management (QPM) organization. The PMO defines and maintains the standards for how programs and projects are managed within an organization and establishes operational excellence, which focuses on continually improving efficiencies, practices, and results to optimize performance.  The PMO builds, maintains, and supports business partner relationships to drive consistency on best-practices, workflows and processes, reporting, tools, and training to ensure success of programs and projects. 

The Portfolio Specialist responsibilities:

  • Assist the portfolio team on the onboarding, training, and support of all Engineering and Technical Operations program/project managers, Business Solutions, and business partners through the central intake portal
  • Triage internal requests to the portfolio team and program and project tickets through central intake
  • Maintain the document repositories for standards, processes, workflows, SOPs, and templates within the PMO SharePoint and Confluence sites
  • Audit the program/project portfolios on a weekly basis to ensure accurate and current program/project data, and distribute the weekly portfolio report
  • Create PowerPoint presentations, as requested, to support the PMO team
  • Create PowerBI dashboards and reports for portfolio partners
  • Own intake refresh training sessions
  • Update training documentation and present to groups, as needed
  • Schedule and facilitate meetings, prepare agendas, take meeting notes, and action items, and disseminate and follow up on next steps/outstanding items

Qualifications

  • Bachelor’s degree
  • 3+ years of project coordination, project management, or equivalent work experience
  • Experience with Jira
  • Proficient with Microsoft Office products: PowerBI, Word, Excel, PowerPoint, Outlook, Project
  • Proficient in creating PowerPoint presentations
  • Process-oriented, and proficient in writing process documentation and creating workflows
  • Understanding the end-to-end product development life cycle, best practices, and project management methodologies
  • Solid organizational skills with ability to multi-task and manage multiple projects in a cross-functional environment
  • Excellent interpersonal skills; able to communicate effectively with all levels
  • Position is hybrid with an expectation of three days per week on site in Universal City, CA or Englewood Cliffs, NJ

Desired Qualifications:

  • Experience in Agile/SAFe methodologies, product life cycle
  • PMP or CSM
  • Exceptional technical, analytical, organizational, and research skills
  • Enjoys analysis and metrics and determining key performance indicators to measure success
  • Self-driven and resourceful to achieve goals independently, as well as work well in groups

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
