A Day in the Life

The person in this role will work from the Medtronic facility located in Mounds View, Minnesota.

Medtronic’s Chief Information Officer is seeking an Executive Administrative Assistant. In this role, your primary responsibility is to provide executive-level support to the CIO, with occasional assistance given to the IT Leadership Team (ITLT) during face-to-face meetings or onsite visits to Minneapolis-area Medtronic facilities. Daily guidance and direction will be provided by the CIO and the Office of the CIO (OCIO).

A DAY IN THE LIFE

  • Review and prioritize CIO emails and calendar (schedule)
  • Prepare and present daily CIO briefing, including key tasks and urgent issues requiring attention; coordinate last-minute schedule changes and ensure necessary materials and meeting collateral are prepared
  • Perform standard office duties, gather data, compile findings, and craft reports for the CIO
  • Coordinate, attend, and capture minutes for executive gatherings and strategic planning meetings with the IT Leadership Team; follow up on action items for CIO meetings and coordinate with stakeholders to gather information
  • Triage incoming calls and inquiries, maintaining a cadence of prompt and professional communication
  • Receive, assess, respond to and/or distribute incoming calls, email, and deliveries as appropriate
  • Act as a Global IT ambassador to the ExCom, internal executives, and external stakeholders, upholding a high degree of professionalism and a commitment to fostering positive relationships
  • Organize and finalize travel arrangements for meetings, conferences, and industry events; submit travel expenses
  • Prepare detailed itineraries and confirm logistics (i.e. airplane seat assignments, car service, travel time, etc.)
  • Work on special projects as assigned and debrief the CIO and/or ITLT as needed

STAKEHOLDER LIAISON

  • Serve as a point of contact between the CIO and internal as well as external stakeholders
  • Build and foster positive rapport with key stakeholders, including senior executives, department heads, and external partners

MEETING COORDINATION

  • Organize and coordinate meetings, prepare agendas, capture minutes, and follow up on action items
  • Prepare and edit correspondence, reports, presentations, and other documents as needed

PROJECT MANAGEMENT

  • Support the CIO by managing key projects and initiatives, ensure deadlines are met and deliverables completed
  • Track progress of various projects and provide regular status updates to the CIO

GENERAL OFFICE MANAGEMENT

  • Maintain office supplies and equipment for the CIO
  • Coordinate with Global IT teams and facilities for office-related needs and issues

CONFIDENTIALITY AND DISCRETION

  • Handle sensitive and confidential information with utmost discretion
  • Maintain confidentiality of all corporate, personnel, and sensitive matters
