About the role

Description

Kalos Services is seeking a highly organized and proactive Executive Assistant to support the Vice President (VP) of Operations. The ideal candidate will be a detail-oriented professional with exceptional communication skills and a proven ability to manage multiple tasks efficiently. This role requires discretion, a strong work ethic, and the ability to anticipate the needs of the VP of Operations.


  • Administrative Support:
    • Manage the VP’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and edit correspondence, communications, presentations, and other documents.
    • Coordinate and manage projects, ensuring deadlines are met.
  • Communication:
    • Serve as the primary point of contact between the VP and internal/external stakeholders.
    • Screen and prioritize incoming communications, responding on behalf of the VP as appropriate.
    • Draft, review, and send communications on behalf of the VP.
  • Meeting & Event Coordination:
    • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
    • Plan and execute company events, conferences, and off-site meetings.
  • Research & Reporting:
    • Conduct research and compile data to assist the VP in decision-making processes.
    • Prepare reports, summaries, and presentations for various purposes.
    • Conduct audits on an as needed basis
  • Confidentiality & Discretion:
    • Handle sensitive information with the utmost confidentiality and professionalism.
    • Maintain a high level of discretion in all interactions and transactions. 

Requirements


  • Minimum of 2 years of experience as an executive assistant or in a similar administrative role.                                                                                                                                           
  • Proficiency in Google Suite/Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of integrity and professionalism.
  • Ability to adapt to changing priorities and manage multiple tasks simultaneously.
