Description
Kalos Services is seeking a highly organized and proactive Executive Assistant to support the Vice President (VP) of Operations. The ideal candidate will be a detail-oriented professional with exceptional communication skills and a proven ability to manage multiple tasks efficiently. This role requires discretion, a strong work ethic, and the ability to anticipate the needs of the VP of Operations.
- Administrative Support:
- Manage the VP’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate and manage projects, ensuring deadlines are met.
- Communication:
- Serve as the primary point of contact between the VP and internal/external stakeholders.
- Screen and prioritize incoming communications, responding on behalf of the VP as appropriate.
- Draft, review, and send communications on behalf of the VP.
- Meeting & Event Coordination:
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Plan and execute company events, conferences, and off-site meetings.
- Research & Reporting:
- Conduct research and compile data to assist the VP in decision-making processes.
- Prepare reports, summaries, and presentations for various purposes.
- Conduct audits on an as needed basis
- Confidentiality & Discretion:
- Handle sensitive information with the utmost confidentiality and professionalism.
- Maintain a high level of discretion in all interactions and transactions.
Requirements
- Minimum of 2 years of experience as an executive assistant or in a similar administrative role.
- Proficiency in Google Suite/Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of integrity and professionalism.
- Ability to adapt to changing priorities and manage multiple tasks simultaneously.
