You, as the Executive Assistant will provide varying levels of administrative support to the CEO and the Executive Leadership team in the areas of Handling Critical Communications, Managing Confidential Information and Keeping Records of Corporate Documents, Records, and Reports. The ideal candidate will have excellent communication, organization and a high level of attention to detail. Note, this role will be remote, with occasional in office work in our Cambrdge office, so the ideal candidate will be a commutable distance to the office.



What You Will Do:

  • The Executive Assistant will provide varying levels of administrative support to the CEO and the Executive Leadership team to include:
    • Fielding calls, Scheduling meetings, travel arrangements
    • Coordinating meetings, conference calls, and other events
    • Preparing expense reports, ordering supplies
    • Interacting with external parties such as vendors, contractors and customers
    • Maintaining executive calendars (as needed) and arranging meetings and appointments as necessary
  • Create and execute periodic office collaboration, and employee wellbeing activities
  • Participate as necessary on Culture Committee initiatives
  • In addition to handling basic communication-related tasks as mentioned above, the Executive Assistant is responsible for:
    • Coordinating executive outreach and cultivating external relationships through tasks like drafting correspondence, preparing agendas, generating budgets, and other materials for board meetings.
    • Liaising with senior management teams, board members, and other key executives on behalf of the CEO. This necessitates the ability to interact with many different people at all levels with confidence and competence.
  • This role may also be privy to sensitive matters requiring the highest levels of confidentiality and may routinely participate in discussions and decisions directly impacting the company’s global operations. Honoring confidentiality, using discretion, and practicing good judgment are integral.
  • As a long-term collaborative partner to the CEO, the Executive Assistant may take on higher-level work and special projects like organizing and editing PowerPoints for sales presentations, doing research to prepare for upcoming events, or helping to write up an analysis of competitive threats.
  • Responsible for maintaining effective systems and processes for simplified document management.

  • This role will communicate with many people throughout the day, including the Executive team, other assistants, clients and other employees.
  • Effective communication skills, both in writing, in person and over the phone, are critical in being efficient and effective in this role.
  • Organization is a crucial skill, as this role will often handle many tasks at once, this includes keeping track of the manager's calendar, managing their inbox and files, and keeping track of important documents.
  • Keen organization skills can also help in this role to prioritize tasks and delegate effectively.
  • Attention to detail is key for this role
  • The Executive Assistant will often have to be precise when handling documents and data, and attention to detail can help them complete tasks accurately.
  • Top notch problem-solving skills are a must to help their bosses make important decisions, solve workplace issues and find solutions to personal problems.
  • The Executive Assistant needs to be able to use leadership and influence skills to delegate tasks and motivate team members to complete certain tasks or projects due on time.
