The Administrative Assistant III role, supporting the Production & Studio Technology Services & Enterprise Architecture departments, within Information Technology, is a highly valued team member in our organization. The Assistant role will run point on all things administrative, logistical and serve as a trusted partner to the team to create efficiency, improve communication, and maintain strong levels of collaboration among internal and external stakeholders. SPE is searching for a candidate who is looking to make a positive impact and shares a passion for the Media & Entertainment industry.
Core Responsibilities:
Serve as a trusted and reliable partner to executive(s)
Demonstrate exemplary communication and organizational skills
Foster and build strong working relationship with other admins across the studio
Manage daily calendaring / schedules for the Executive Team; serve as a gatekeeper for their time to ensure they remain highly productive
Foster strong working relationships with all members of the organization and offer a helping hand to lighten the load of others when needed
Coordinate on-site visitor passes, working spaces and equipment
Support space and location planning, including floors plans, seating assignments, office supplies etc.
Manage onboarding for new joiners (system access, laptop, badge, seating assignment)
Offer calendar / logistics support for other members of the PSTS management team when needed
Help coordinate team building events, including holiday get togethers, happy hours, pot lucks etc.
Manage Executive’s time and expense (T&E), including on-time filing of receipts/AMEX statements
Coordinate domestic & international travel logistics for Executives – air, hotel, transportation
Attend stakeholder meetings and scribe meeting minutes / action items
Assist with junior project management activities – coordinate follow ups, task tracking, ensure to-do’s are completed as agreed upon
Assist with preparing internal communications – memos, slideware, internal presentations
Support junior analysis work – enter & manage data into spreadsheets, conduct analysis work, perform research, compile & synthesize findings
Find new and innovative ways to increase productivity for the team (all ideas are welcome)
Requirements:
4+ years of administrative experience or transferable skill sets
2+ years of experience working in the Media and Entertainment industry – preferred but not required
1+ years or more experience working and/or supporting Productions - preferred but not required
Bachelor’s degree or relative certifications – preferred but not required
Excellent written and verbal communication skills
Highly proficient in time management and organization
Problem solver – knows how to navigate enter workings of Studio to clear roadblocks
Operates with accountability – knows his/her core responsibilities, seeks advice/guidance if needed, operates with a sense of pride in work product
Highly organized – has proven tools/methodologies to stay organized
Great at multi-tasking – can manage multiple concurrent activities with breeze
Operate with a knack for attention to detail (e.g., spelling, grammar, logistical details)
Operate with a high degree of professionalism (i.e., is kind, courteous, respectful, and polite to others)
The anticipated base salary for this position is $54,200-$84,100. This role may also qualify for annual incentive and/or comprehensive benefits.
