The Advancement Coordinator plays a crucial role in supporting fundraising and development efforts through donor database management, gift processing, event support, and administrative tasks.

 

Key Responsibilities and Essential Functions:

Abides by Ensworth’s Employee Handbook and Code of Conduct
Commits to the ideals expressed in Ensworth’s Mission Statement, Vision Statement, and Diversity, Equity and Inclusion Statement
Adheres to the Essential Expectations of an Ensworth Faculty, Staff, or Administrator

Donor Database & Gift Processing:

Maintains and updates Raiser's Edge donor records, ensuring data accuracy and integrity.
Processes and acknowledges gifts, pledges, and stock donations; issue tax receipts and pledge reminders.
Reconciles donations with the Business Office and ensures compliance with donor intentions and IRS regulations.

Reporting & Analysis:

Generates reports and dashboards to track fundraising progress and donor trends.
Performs monthly gift reconciliations and compiles data for the Annual Report.

Fundraising & Event Support:

Assists with donor communications, appeals, and stewardship efforts.
Supports event logistics, including the annual Robert Inman Tiger Classic Golf Tournament & Tiger Night Auction.

Stewardship & Donor Relations:

Coordinates donor acknowledgments, annual reports, and correspondence.
Tracks moves management and updates prospect assignments.

Administrative Support:

Provides general office support, including scheduling, meeting coordination, and financial processing.
Maintains office supplies and assist with receptionist duties once per week.
Performs other duties as assigned.

 

Qualifications/Experience:

Bachelor’s degree or equivalent or comparable work experience.
Minimum 3 years of professional experience with database systems, data entry, or development; preferably with an independent school or in higher education.
Proficient in the use of Microsoft Office products and Google Suite.
Experience with Raiser’s Edge & RE NXT (preferred) or similar database system.
Ability to manage highly confidential personal and financial information.
Exceptional interpersonal, oral, and written communication skills.
Ability to work independently and as a member of a team.
Engages positively with Ensworth community, including faculty/staff, parents, trustees, and alumni.
Demonstrates commitment to excellence, detail, and ability to prioritize and manage multiple projects simultaneously in a dynamic environment.
Must successfully complete background screening and verification.
Continues commitment to professional development to remain at the forefront of current best practices and acquire any new knowledge. Dependent on the program, such training may need to take place outside of normal working hours and/or in the summer months.

 

Physical Requirements and Work Environment:

Regularly works in standard office or classroom conditions and climate; occasionally works outdoors in varying weather conditions and climate.
Regularly uses close vision and works at a computer screen.
Ability to occasionally move items weighing up to 30 lbs. across the campuses/office.
Works in a stressful environment, effectively dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts; frequently requires the stamina to maintain attention to detail despite interruptions.
Ability to regularly work flexible hours to meet monthly, quarterly, and annual deadlines and to support before and after-school or weekend activities.
Ensworth requires employees to be physically present on campus, with limited exceptions that are at the sole discretion of the School. Under extraordinary circumstances, some or all of the workforce may be required to move to a remote working environment. Additionally, certain individuals may also be approved for limited remote work, based on the nature of the job description, specific circumstances, and only with written prior approval by a direct supervisor.
