Senior Executive Assistant to the Chief Financial Officer: Become the Newest Member of the VF Family!

The Executive Assistant will serve as the primary point of contact and liaison for all matters pertaining to the Chief Financial Officer. Acting as the liaison to the board of directors, external consultants, and other agencies, and to Global Leadership Team (GLT) and other VF senior business leaders.  In this role, you can expect to own a variety of administrative and project management duties in support of the leader and broader Finance teams.  Some of this work may be highly confidential. 

The Executive Assistant must be creative and enjoy working within a matrixed, global environment that is results-oriented, values-driven, brand-focused. The ideal candidate will have the ability to exercise excellent judgment and high confidentiality in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure, in a highly visible role, at times to handle a wide variety of activities and confidential matters with discretion.  This role will also need to partner effectively with other Executive Administrative Assistants within and outside of department.

How You Will Make a Difference:  

  • Prepares confidential correspondence, reports, and presentations, using MS Word, PowerPoint, and Excel spreadsheets. Research and extract data from various resources and systems when needed
  • Complete a broad variety of administrative tasks for the Executive including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed domestic and international travel plans, itineraries, and agendas; and compiling documents for travel / meetings as well as everything between coordinating office events to managing office supplies
  • Schedule, guide and manage the key engagements of the business leader which includes handling communications/emails and manages schedules when needed. Has frequent access to highly confidential information and files
  • Serves as liaison between executives, leaders, team members and visitors as required, and corresponds in a highly responsive, professional manner  
  • Plan, coordinate and ensure the Executive’s schedule is followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executives’ time
  • Provides initiative-taking scheduling for the leader(s), e.g., before key meetings, provide recommendation to leader on preparation meetings and any pre-work for participants, including drafting and driving meeting agendas.        
  • Enters and/or approves department expenses and invoices as needed to ensure timely payment for professional services and vendors. Assist with monthly Forecast updates
  • Completes expense reports on a timely basis for leaders in department as needed
  • Coordinates all business travel arrangements; arranges travel schedule and reservation via Corporate Travel program; includes flight, hotel, and ground transportation; files travel expenses for reimbursement
  • Assists with meeting planning and set up; schedules conference rooms, orders catering, secures technology and other resources as required       
  • Develops and maintains good working relationships throughout the organization by exhibiting outstanding customer service skills with all internal and external customers
  • Partners with peers to understand and share upcoming priorities and deadlines for different department leaders
  • Participates in special projects as required and needed
  • Performs these and other departmental duties as assigned

Years of Related Professional Experience: 5+ years 

Educational/Position Requirements:

  • Bachelor’s degree or equivalent experience in similar industry
  • Ideally has minimum of five years of executive administrative experience in a professional business environment supporting a global executive in a Fortune 500 company
  • Exceptional customer service skills and mindset of making day-to-day easier for VF leaders; collaborator who takes initiative to assist other associates. 
  • Results oriented with ability to act with sense of urgency to meet business needs; excellent organizational and time management skills with the ability to handle multiple projects and deadlines
  • Effective communication skills (oral and written) and people skills, professional, courteous, friendly, and can interact with various levels of management, business partners, and vendors
