The Role + Purpose:
J.Crew Group is seeking an Administrative Assistant to serve as a trusted partner to our Human Resources Leadership Team. In this role, you will provide high-level administrative and logistical support to the VP, Talent Acquisition & DEIB and the VP, HR Business Partner (Factory), ensuring seamless day-to-day operations and a highly organized, professional experience for internal teams and external partners.
You will manage complex calendars, coordinate meetings and events, handle travel and expense logistics, and act as a central point of contact for HR-related activities. Representing the HR function, you will bring a service-oriented, proactive approach to your work—anticipating needs, maintaining discretion, and enabling leaders to operate efficiently in a fast-paced environment. This is a hybrid role based in New York, with on-site presence required to support in-office meetings, events, and activations.
Day-to-Day Responsibilities:
Provide day-to-day administrative support to HR leaders, including real-time coordination of meetings, appointments, and shifting priorities
Own calendar management, meeting scheduling, and conference room bookings; proactively update and adjust events throughout the day as needs change
Liaise with building security and J.Crew Group reception to welcome and support external guests attending HR meetings
Support new hire requests and coordinate IT setup and onboarding logistics in partnership with HR and Technology teams
Organize team lunches, meetings, and internal events, ensuring smooth execution and a polished experience
Compile and submit expense reports, coordinating closely with leaders to ensure timely review and approval
Assist with vendor management, including vendor setup, contract coordination, and invoice tracking through company systems
Arrange and manage domestic and international travel, including flights, accommodations, visas, and passport renewals
Review, prioritize, and manage incoming emails, phone calls, and correspondence, screening inquiries from vendors, employees, and external contacts
Order, distribute, and maintain office supplies for the HR team
Partner closely with the Chief Human Resources Officer’s assistant and provide coverage or support as needed
Take on additional projects and administrative initiatives as requested
Onsite Administrative & Event Support
Provide onsite administrative support for IBSI-related activities on an event-based, pre-scheduled basis, aligned with executive administrative priorities
Serve as the onsite point of contact for Associate Impact Group (AIG), Belonging, and Social Impact events, supporting in-person execution
Coordinate onsite logistics in partnership with Office Services, IT, Security, Facilities, vendors, and the mailroom—including room setup, food ordering, deliveries, and day-of troubleshooting
Support onsite communications and visibility by posting signage, distributing materials, and assisting with execution of internal communications aligned to IBSI campaigns
Manage IBSI supplies and inventory, tracking materials (signage, swag, supplies, deliveries), placing orders as needed, and maintaining organized storage to support both recurring and one-time activations
Qualifications:
Strong interpersonal skills with the ability to build effective relationships across the HR team and with cross-functional partners
Highly organized and detail-oriented, with the ability to manage multiple priorities, meet deadlines, and follow up independently
Proficient in Microsoft Office (Outlook, Excel, Word); Workday experience a plus
Professional, polished demeanor with strong written and verbal communication skills
