How can you make a difference?
The Administrative Assistant (Guest House Manager) will be responsible for managing the UNICEF guest houses designated for staff in Gaza. This role is crucial in ensuring that the accommodations are well-maintained, secure, and provide a comfortable living environment for staff members.
Your key objectives:
- To oversee the daily operations of the guest houses.
- To ensure the guest houses are maintained to a high standard.
- To monitor daily consumption of fuel and prepare related reports.
- To provide support and assistance to international staff regarding accommodation needs.
- To plan and manage welfare activities.
Your key responsibilities:
1. Management of Guest Houses:
- Oversee the daily operations of the guest houses, ensuring they are clean, safe, and welcoming.
- Coordinate maintenance and repairs as needed, ensuring timely resolution of issues.
- Organize staff events to promote well-being, in coordination with the Operations Manager and Chief of Field Office.
- Supervise canteen, kitchen and manage/report on contributions received from international staff for meals & kitchen supplies.
- Inspect and maintain all premises and equipment used by personnel, under strict quality control.
2. Staff Coordination:
- Serve as the primary point of contact for international staff regarding guest house accommodation.
- Assist staff with check-in and check-out processes, ensuring a smooth transition.
3. Establish, administer and manage welfare activities in full compliance with the UN rules and regulations:
- Develop welfare and recreation programmes in accordance with UNICEF guidelines and implementation of welfare activities.
- Provide financial accountabilities for all funds received, held or disbursed for welfare activities, and be accountable for all facilities or other property received or under his/her control for implementing welfare and recreation activities.
- Organize weekly events such as Happy Hour and special events.
4. Budget Management:
- Assist in managing/forecasting the budget for guest house operations, including maintenance, utilities, and supplies.
- Monitor expenses and report on budget utilization.
5. Inventory Management:
- Maintain an inventory of supplies and equipment for the guest houses.
- Ensure that all necessary supplies are stocked and available for staff use.
6. Fuel Management:
- Maintain oversight of fuel consumption for both vehicles and generators, while keeping a contingency reserve.
- Utilize the fuel monitoring sheet to record the data.
- Generate a monthly report detailing fuel consumption for each vehicle and generator.
7. Reporting:
- Prepare regular reports on guest house occupancy, maintenance issues, and budget status.
- Provide feedback and recommendations for improvements to guest house operations.
8. Any other related duties may be required.
