Job Description

The Oklahoma Medical Marijuana Authority (OMMA) is seeking a full-time Administrative Hearing Clerk Assistant. This is a state position governed by the Civil Service Rules, in state government located in Oklahoma City, OK.  OMMA offers a comprehensive benefits packet, including a generous benefit allowance to offset the cost of insurance premiums for employees and their eligible dependents. The annual salary for this position is up to $55,000 based on education and experience.

Position Summary

This position is responsible for preparing, filing, maintaining, and mailing documentation for all cases and administrative hearings. Responsibilities include docketing and offering administrative and organizational support to the Administrative Law Judge during hearings. Additionally, this position requires attending and recording all administrative hearings and providing part-time administrative support to the Operations Department.

Position Responsibilities / Essential Functions

  • Tracks all cases filed; maintains hearing dockets; prepares digital and hard folders; schedules administrative hearings.

  • Accepts and file-stamps all pleadings filed by parties.

  • Docketing and processes all pleadings, documents, and any other records received in a case.

  • Reserves and prepares the courtroom for hearings.

  • Prepares all documentation related to the administrative hearings; develops and maintains a system to organize all documents related to the hearings.

  • Communicates with judges, managers/supervisors, and legal staff regarding hearing issues and/or questions.

  • Tracks all activities related to hearings; monitors for returns of service before hearings; monitors for dismissals, continuances, or orders to conclude hearings.

  • Provides administrative support to the Operations Department; schedules meetings; screens phone calls and receives visitors; provides information and referrals to appropriate department/employee; handles routine matters.

  • Other duties, as assigned.

Education and Experience

Education and Experience requirements at this level consist of a bachelor’s degree or four years of technical clerical, administrative, secretarial, or general office work; or an equivalent combination of education and experience.

Preferred Qualifications  

Preference may be given to candidates who have one year of experience as a hearing or court clerk, paralegal, or legal assistant. Preference may also be given to candidates with experience with Microsoft Office products such as Word, Excel, and Outlook.

Knowledge, Skills, and Abilities

Knowledge, Skills, and Abilities required at this level include knowledge of spelling, punctuation, and business English; business mathematics; of modern office methods and procedures; the maintenance of complex records; and the major policies and procedures governing assigned programs.
