Job Overview

The Administrative Assistant provides primary support for Senior Level Executives. The successful candidate demonstrates exceptional support, superior communication skills, and decision-making abilities essential for office management. This role requires a high level of trust, confidentiality, and organizational skills. Other duties may be assigned as needed.

 

What You Will Do

  • Maintain and manage calendars by scheduling meetings, responding to invitations, and resolving scheduling conflicts based on the priorities of the Senior Level Executive.
  • Handle incoming and outgoing communications, including mail, fax, and email.
  • Generate solutions and troubleshoot problems as needed, involving direct reports if necessary.
  • Answer and screen telephone calls, accurately handle messages, and respond promptly.
  • Utilize Microsoft Office products such as Word, Excel, and PowerPoint to create presentations, spreadsheets, and reports.
  • Maintain accurate records and manage administrative tasks efficiently.
  • Coordinate scheduled events, interviews, presentations, and company meetings.
  • Manage departmental budgets and expenses.
  • Order and restock office supplies as needed.
  • Arrange travel and process related expenses.
  • Assist with special projects as required.
  • Adhere to shortage programs and procedures.
  • Carry out these tasks efficiently under the direction of the Supervisor.
  • Maintain regular, dependable attendance and punctuality.

 

Skills You Will Need

Exceptional Support: Demonstrating exceptional support for Senior Level Executives, with superior communication skills and decision-making abilities essential for effective office management.

Calendar Management: Proficiency in maintaining and managing calendars, scheduling meetings, responding to invitations, and resolving scheduling conflicts based on executive priorities.

Communication Skills: Excellent verbal and written communication skills, including the ability to handle sensitive situations with tact and discretion.

Administrative Proficiency: Strong administrative skills, including handling incoming and outgoing communications, accurately managing messages, and maintaining accurate records.

Technical Skills: Proficiency in Microsoft Office products (Word, Excel, PowerPoint), Outlook, and navigating intranet and internet for various tasks.

Organizational Skills: High level of organizational skills, including coordinating events, managing departmental budgets and expenses, and ordering/restocking office supplies.

Multi-tasking and Prioritization: Ability to juggle multiple projects, prioritize tasks, and respond effectively to changing priorities while maintaining attention to detail and follow-through.

Confidentiality: Maintaining a high level of confidentiality with sensitive information and handling it with discretion.

Interpersonal Skills: Strong interpersonal skills to gain respect and cooperation from supervisors, their subordinates, and other team members.

Team Collaboration: Ability to collaborate effectively as a member of a team and interact with all levels of the organization.

Problem-solving: Initiative and ability to problem solve, demonstrating a strong sense of urgency and comfort with computer use, including multi-function devices.
