Financial Administrative CoordinatorJob Description Summary
Under limited supervision, perform financial and budget management duties for the Financial Services Center (FSC). This includes utilizing Ben Financials and other university systems to facilitate purchases, reimbursements, budget reconciliation and transfer of funds. The FSC supports 450+ undergraduate student organizations, oversees the financial administration of undergraduate student government budgets, and two (2) University Life departments, shared among a staff of five. Communicate University and student government policies and procedures to students and departmental staff and ensure the integrity of financial transactions performed within the department. Reports to Associate Director, Finance and Adminstration.Job Description
Job Responsibilities
- Advise students and staff on relevant University and student government procedures.
- Oversee use of student program cards by University funded student organizations.
- Process financial transactions (including Purchase Orders, Invoice Payments, Payroll, Journal entries and personal reimbursements) via Ben, Accounts Payables and Concur.
- versee ticket sales and other revenue generated by student groups. Prepare reports as requested.
- Serve as the primary staff contact for a subset (75-100) of registered student organizations.
- Assist with payroll process for work-study students when needed.
- Enter data into SAC online, an internal shadow system accessed by students.
- Participate in delivery of financial training and educational programs offered by the FSC each semester.
- Exercise resource stewardship (financial and human resources where applicable) and report known or suspected irregularities to the Business Administrator of the FSC and the Provost's Administrative Affairs office.
- Other duties and responsibilities as assigned.
Qualifications
- High School Grad/GE Degree and 5 to 7 years of experience or equivalent combination of education and experience is required.
- Prefer candidate to have some familiarity with Penn financial systems and a background in accounting or financial administration.Seeking candidates who are team-oriented, can work with interruptions, and have an inclusive approach to their work.
