Job Summary:

We are seeking an exceptional Senior Executive Assistant to provide high-level administrative support to the Zone President and VP of HR for Europe Pacific Developed Markets. As a trusted and integral member of the team, you will be responsible for handling complex calendars, coordinating travel arrangements, preparing correspondence, and handling confidential matters with discretion. Key Responsibilities:

  • Provide administrative support to the Zone President and VP of HR, ensuring seamless day-to-day operations and effective time management.

  • Handle complex calendars, coordinate meetings, and arrange travel itineraries, including flights, hotels, and ground transportation.

  • Prepare and distribute correspondence, reports, and presentations, ensuring accuracy, attention to detail, and timely delivery.

  • Handle confidential matters with discretion, including sensitive employee issues, performance management, and other HR-related topics.

  • Coordinate projects and special assignments, including event planning, board visits, budget management, and vendor relationships.

  • Serve as a point of contact for internal and external stakeholders, including employees, customers, and partners.

  • Act as a mentor for the other Executive assistants based in the Netherlands

  • Manage expense reports, invoices, and other financial documents, ensuring accuracy and compliance with company policies.

  • Develop and maintain relationships with key stakeholders, including other EAs, HR team members, and external partners.

  • Stay up-to-date on company policies, procedures, and initiatives, ensuring compliance and effective implementation.

  • Minimum 5 years of experience as an Executive Assistant, supporting senior-level executives in a fast-paced, dynamic environment.

  • Consistent track record of providing exceptional administrative support, with a focus on discretion, confidentiality, and attention to detail.

  • Excellent written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders.

  • Proficiency in MS Office applications (Outlook, Word, Excel, PowerPoint, Teams) and other productivity tools.

  • Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.

  • Strong organizational skills, with a focus on efficiency, accuracy, and timeliness.

  • Experience working in a multicultural environment, with a strong understanding of cultural nuances and sensitivities.

  • Fluency in English, with additional language skills (e.g., French, German, Dutch) highly desirable.

Nice to Have:

  • Experience supporting senior-level executives in a multinational corporation.

  • Knowledge of HR systems, processes, and best practices.

  • Certification in executive assistance, administration, or a related field.

  • Experience with travel management, event planning, and budget management.
