Title: Administrative Coordinator for Accessible Education and Student Support
Position Purpose:
The Administrative Coordinator is responsible for providing broad administrative support for the Office of Accessible Education and Student Support and reporting to the Assistant Dean. The Coordinator provides administrative support for the department, and is responsible for the day to day operations of the Testing Center. This position frequently interacts with students, faculty, and staff and is responsible for creating an inclusive, inviting, and welcoming office environment as the office’s front-line staff member.
Job Duties:
- Provides administrative support for the Assistant Dean, Director of Accessible Education, and Director of Student Support.
- Oversees day-to-day operations of the Testing Center, including scheduling students for exams, proctoring exams, etc.
- Maintains organized accounting of all exams with drop-off and pick-up procedures.
- Manages system administrator functions, the workflow, and paperwork of the student support process through the college’s case management database, BatesReach (Starfish).
- Assists in the coordination of periodic training activities and committee meetings
- Assists in the development of annual reports for the office
- Coordinate logistics for additional accommodations, including peer note-taking, text in alternative formats, and captioning.
- Supports the office in website creation and maintenance of the website on WordPress, which is a user-friendly website software.
- Serves as the front-line staff member in the office, triaging phone calls and visitors to the office.
- Manages the office inbox.
- Monitors the office budget, orders office supplies, and processes invoices and reimbursements.
- Coordinates hiring processes and onboarding staff as necessary.
- Other assignments and projects as required by the Assistant Dean.
Minimum Qualifications:
Education
- High school diploma or GED required.
- Bachelor’s preferred.
- An equivalent combination of education and experience is considered.
Experience
- Experience in a professional office setting providing administrative support or office management, preferably in a higher education environment.
- Experience managing a complex office environment with frequently shifting tasks and priorities.
- Experience working with multiple constituencies in sometimes difficult and stressful situations.
Skills and Knowledge

- Excellent communication (written, verbal) skills.
- Ability to proofread and edit various types of documents including those for wide distribution and those with sensitive information.

- Ability to maintain confidentiality when dealing with sensitive student information.
