CORE JOB SUMMARY
The Chief of Staff provides executive support in a one-on-one working relationship. The Chief of Staff serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Head Coach. The Chief of Staff must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
CORE JOB FUNCTIONS
Provide direction and prioritization standards for the screening of the executive's mail, email, voicemail and appointments using expert judgment and knowledge.
Anticipate Head Coach’s needs and proactively bring together appropriate people and other resources to support the Head Coach in addressing issues.
Prepare financial and operational reports and analyses reflecting progress, adverse trends, and appropriate recommendations or conclusions.
Analyze past trends and project future needs to forecast and manage the budget.
Conduct research, develop content, and create effective presentations.
Independently develop presentations for Head Coach to deliver.
Handle confidential information which would have an immediate negative impact on the company operations, performance, or value if shared beyond its intended audience.
Interpret departmental policies and procedures, make decisions on specific operating problems, and issue instructions in the name of the departmental and divisional head in accordance with departmental precedents and policies.
May represent University and/or the Head Coach on internal or external committees.
Formally supervise a small group of department staff.
Responsible for recommending and executing various personnel actions including, but not limited to, hiring, performance appraisal, promotions and disciplinary actions.
Monitor attendance and automated time reports.
Plan, organize, and coordinate the administrative aspects of the Head’s Coach Office functions.
Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
Ensures employees are trained on controls within the function and on University policy and procedures.
Adheres to University and unit-level policies and procedures and safeguards University assets.
