About the Position:

The Virginia State Police (VSP) is seeking to hire an Executive Secretary in our Property and Finance Division at our Administrative Headquarters in North Chesterfield, Virginia. The job duties for this position include but are not limited to:

• Serving as Division Executive Secretary.
• Typing correspondence, reports and other documents as needed.
• Answering Division phone calls.
• Maintaining calendars and schedules and making appointments.
• Maintaining pending and Division files.
• Receiving and distributing mail for the Division.
• Providing clerical support for Division Commander and Assistant Property and Finance Officers.

Minimum Qualifications

Knowledge of:

• Office management practices and procedures.
• Proper grammar, punctuation, and spelling.
• Basic mathematics.

Skill in:

• Operating computers.
• Using Microsoft Office applications and other office systems.

Ability to:

• Use electronic office equipment such as a personal computer, computer software, and scanning and fax machines.
• Maintain filing systems.
• Perform a wide variety of administrative assignments in regulating and controlling office activities.
• Ensure seamless document flow.
• Relate programs, policies and procedures to administrative processes.
• Work independently and as a member of a team.
• Communicate effectively orally and in writing in English with staff, Agency executives and the public.
• Considerable administrative experience performing a variety of clerical and administrative duties required.
• Graduation from high school or equivalent.

Additional Considerations

• Experience providing administrative assistance to executive level employees preferred.
