JOB SUMMARY
In this Patient Access Supervisor position, you will ensure a positive environment exists whereby patient flow can be maintained while overseeing the daily activities of the Republic Medical Clinic registration area to ensure department standards are met. This includes performing a wide variety of customer service duties including greeting and assisting the general public, answering telephone inquiries, providing information to the public, make appointments, check patients in for appointments, cashiering and processing payments and constant communication with the health care team to assure adequate patient flow. This position will supervise the Republic Medical Clinic Registrars and Administrative Floats.
ESSENTIAL DUTIES AND RESPONSIBILITES
- Works in conjunction with the Revenue Cycle Manager to execute new programs/procedures to improve services, operations, and efficiency; establishes annual clinic registration goals and provides direction regarding the department priorities and standards. Collaborates with other departments to ensure that Registration is meeting the department’s service expectations and information requests.
- Provides training to new hires to ensure a streamlined process for the clinic registration.
- Oversees the daily activities of the clinic registration area to ensure department standards are met.
- Educates clinic registration staff of any changes pertinent to their roles.
- Excel in all functions performed by clinic Registrars to keep current on skills and workflow. When appropriate, relieve staff members during employee sick/vacation time.
- Conducts annual reviews for Registrar and Administrative Float staff.
- Works closely and professionally with nursing and ancillary departments in an effort to maintain a teamwork approach.
- Ensures adequate staffing in clinic registration areas to cover all required hours of availability. Works in conjunction with the Revenue Cycle Manager to cover scheduling, personnel for PTO, FMLA, sick days, etc., and where the Administrative Floats will be working daily.
- Assists in resolving patient concerns promptly. Demonstrates a professional image in dealing with the public, patients, families, and vendors.
- Greets customers and visitors at the front desk; directs visitors, takes payments and answers simple billing questions.
- Performs cashier duties such as accepting patient payments, balances cash drawer and prepares deposits.
- Responds to general customer and public inquiries about District policies and procedures and refers messages, information and various types of calls to the appropriate person.
- Verify insurance eligibility and benefits.
- Responds to and resolves customer account questions, problems and complaints.
- Sorts and routes incoming mail and packages; prepares outgoing mail with postage.
- Operates phone intercom system directing hospital staff to situations, calls, and emergencies.
- Handles sensitive information and situations in a manner to enhance the District’s image in the community.
- Reviews, routes and responds to daily messages from the answering service.
- Assists in ordering and maintaining office supplies.
- Assists with the processing of various correspondence and notifications.
- Performs filing and record-keeping.
- Perform related duties as assigned by management.
PROFESSIONAL REQUIREMENTS
- Actively checks and responds to emails and QLIQ account throughout the work day.
- Completes all mandatory education within given timeframe.
- Maintains regulatory requirements.
- Reports to work on time and as scheduled.
- Wears identification while on duty; uses computerized punch time system correctly.
- Represents the organization in a positive and professional manner in the community. <
