Description
The Administrative Assistant position actively participates in carrying out the mission of CCHC by providing administrative support to the Site Manager and other staff serving homeless families, youth, single adults and/or chronic public inebriates. This person will provide services as a member of a team and implement the program goals based on "Housing First" and "Harm Reduction" philosophies. This position performs administrative and office support activities for the building and programs in their location.
Duties and Responsibilities include the following: Other duties or tasks may be assigned as required. Management may modify, change or add to the duties of this description at any time without notice.
1. Receive and receipt payments from residents, in person and by mail, including cash.
2. Document and maintain resident files, rosters and spreadsheets.
3. Word processing, filing, faxing, scanning and other clerical duties.
4. Input data in systems, including HMIS.
5. Establish and enhance positive relationships with residents, co-workers, and others.
6. Assist with maintaining and reporting information for funding sources, to include running of data reports.
7. Engage in daily interactions with residents and team members that support housing stability.
8. Assist with resident housing recertification process.
9. Assist Site Director in compliance inspections.
10. Furnish information about the program as needed.
11. Attend and participate in staff/resident meetings and training opportunities.
12. Respond to and resolve issues of controversy that may arise between residents and/or guests using Non-Violent Crisis Intervention Strategies.
13. Manage difficult resident issues by de-escalating potentially volatile situations and seeking additional help, including police assistance as needed.
Requirements
This position requires a person who has interpersonal skills necessary to tactfully and professionally deal with residents and the general public. The person in this position requires a high school diploma, GED or equivalent. This person must pass and maintain Minnesota Background Study clearance and have a valid driver’s license.
