We’re Exai Bio.

Our mission is to deliver the earliest and most accurate diagnosis of cancer. We aspire to enable a world where cancer can be detected early, diagnosed accurately, treated in a personalized and targeted way, and ultimately cured.

And we’re looking for an Executive Assistant.

We’re hiring an experienced Executive Assistant to join our growing team. Your daily tasks will include ownership over the organization of schedules, meetings, and documents for our CEO and our executive team. You will play a key role in creating and adjusting travel plans, meeting arrangements, and other work-related logistics. You enjoy improving processes and systems, and are comfortable both working independently and taking direction from various members of the executive team. This position is on-site at our Palo Alto office.

What You’ll Do

  • Support 4-6 members of our executive team:
    • Manage scheduling for company executives, including both internal and external meetings. Correspond with external contacts as needed.
    • Prepare and organize documents for internal, external, and board meetings.
    • Coordinate travel arrangements, including flights, hotels, restaurant reservations, conference registrations, etc.
    • Maintain an organized system of records, decks, and documents.
    • Prepare, reconcile, and submit expense reports.
    • Create, coordinate, and update presentation slide decks and meeting agendas.
  • Support our CEO:
    • Maintain CEO’s calendar, including all scheduling and travel arrangements. Exercise discretion in evaluating time commitment needs and travel logistics.
    • Keep CEO apprised of time-sensitive and priority issues, ensuring appropriate follow-up to communications.
    • Sort and triage email; maintain an organized inbox.

What You Bring to the Team

  • Previous experience supporting executive teams; biotech/medical device industry experience a plus
  • High school diploma or equivalent, college degree a plus
  • Ability to work on-site full time at our Palo Alto HQ
  • Ability to perform all listed job tasks with minimal supervision
  • The initiative to make process improvements and anticipate needs of the executive team
  • Effective communication skills (verbal and written)
  • Strong time management skills and the ability to work independently
  • Excellent customer service skills
  • High comfort level with Google Suite, especially Gmail and Google Calendar
  • You must be legally authorized to work in the U.S and be fully vaccinated against COVID-19, with the exception of a medical or religious exemption

  • Base Salary Range: $95,000 to $115,000 annually
