About this opportunity:
Cenovus is seeking an Administrative Assistant for our Toledo refinery. This person plays a vital role in supporting the daily operations of the refinery by delivering high-quality administrative and organizational support. This position acts as a central point of coordination for office activities, employee services, and site-wide initiatives, enabling teams and leaders to operate efficiently and effectively. Through proactive communication, attention to detail, and strong organizational skills, the Administrative Assistant helps ensure seamless execution of administrative processes and contributes to the overall productivity and success of the site.

What you’ll do:
Provide comprehensive administrative assistance to departmental staff, including but not limited to: document preparation, copying, laminating, shredding, data entry, and spreadsheet management.
Schedule and coordinate internal and external meetings, conferences, and team events as needed.
Coordinate business travel logistics, including transportation and lodging, in compliance with company travel policies.
Coordinate departmental supply orders, including office supplies, business cards, copier needs, and specialty promotional items.
Partner with HR and department leaders to facilitate onboarding and offboarding processes, ensuring timely completion of checklists and provisioning of equipment and apparel (e.g., IT tablets, FRC).
Oversee and manage the site FRC (Flame-Resistant Clothing) program which includes inventory control and stock management, ordering garments and supplies, tracking items for employee exit, billing and location updates, coordinating drop off locations.
Who you are:
Legally authorized to work in the US.
2+ years of relevant administrative experience with high proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), SharePoint, and other enterprise systems.
High School diploma or equivalent required, associate’s degree or administrative certification an asset.
