About the role

The Enoch Pratt Library has an immediate opening for a Part-time Programs Office Assistant. Under the supervision of the Programs Operations Manager, the part-time (20 hours/week) Programs Office Assistant will provide essential support to the Programs team. This role ensures smooth day-to-day operations by overseeing office tasks, managing supply orders and distribution, and assisting with program logistics on a system-wide level. This position will work weekdays only on a set schedule.

Salary: $20.90/hr.

Job Type: Part-Time

Summary of Duties:

The list below is not exhaustive. Additional duties may be assigned based on department needs.

  • Attend and take notes at children’s, young adult, and adult programming committee meetings.

  • Prepare documents related to programs and expenditures, such as check requests and requisitions. Record and track signed check requests in the PAO budget system and submit them to the Business Office for payment.

  • Coordinate branch program supply orders for all age groups, including ordering, receiving, and distributing supplies. Maintain associated tracking spreadsheets.

  • Fulfill and send Ellison shape requests.

  • Assist with department packaging and distributions for programs such as Summer Break Baltimore, One Book Baltimore, Imagination Celebration, and Books for Me.

  • Submit programs to online community calendars.

Minimum Qualifications:

  • High school diploma or GED.

  • Two years of experience in an office support role.

  • Experience with Microsoft Office and Google Workspace.

  • Physical Requirements: Physical exertion such as standing; or recurring activities such as bending, crouching, reaching; pushing loaded book trucks; or recurring lifting of moderately heavy items such as boxes of books or journals.

Preferred Qualifications:

  • Associates degree from an accredited college.

  • Experience in a library, museum, or educational setting.

  • Strong attention to detail.

  • Excellent interpersonal and communication skills.

  • Ability to maintain effective working relationships with coworkers.

Position of Trust: Those under final consideration for appointment will be required to authorize the release of and successfully complete a criminal conviction check.
