Position Summary

The Assistant University Registrar for Scheduling and Registration is a member of the curriculum operations team in the Office of the University Registrar (OUR). The position is primarily responsible for the maintenance of course section records and registration in the student system of record, Workday Student. The position collaborates with OUR team members, the student system support team and relevant vendors, and campus partners in preparing course offerings and maintaining registration configurations. Reports to the Associate University Registrar.

Job Description

Primary Duties & Responsibilities

Serves as a member of the Office of the University Registrar (OUR) team and is responsible for a specific area of focus related to and within the student system of record, including:

Course Section Scheduling

  • Maintain processes and communications, according to production schedules, to engage campus partners preparing course section offerings to ensure appropriate use of functionality and accurate section publishing within Workday and downstream systems such as Canvas and OUR website.
  • Support scheduling partners evaluating Workday Student enrollment requirements functionality to deliver curriculum and course sequencing appropriately and achieve course registration goals.
  • Ensure course section editing and publication occurs smoothly, using batch processing functionality and business process tasks to optimize efficiency and provide predictable support for campus partners.

Registration

  • Maintain business requirements for registration appointment timing by academic unit and special populations and apply rules to assign appointments accurately.
  • Support scheduling and registration partners and students during registration periods as necessary.
  • Enforce deadlines, academic policies and processes affecting registration access and records adjustments as necessary.

   

Engage with Workday Student maintenance and support

  • Coordinate with OUR colleagues, Workday Support Team and WashU IT in maintaining system and integrations, i.e. testing and engaging with upgrades and ongoing maintenance.
  • Address support requests from campus partners and students and escalate as necessary in alignment with Workday support delivery model.

Curriculum operations team engagement

  • Maintain operational process and communication practices to ensure shared work within OUR teams is effectively executed, specifically engaging support for course section and schedule production and offering support for course maintenance and academic requirements encoding duties at peak times in the production calendar.

        

Maintain Office Standards and Expectations. Coordinate special projects and perform other duties as assigned; engage in professional development activities and study to improve professional skills and stay current on regulations and best practices; attend and present at meetings and events to represent OUR and Washington University in St. Louis. 

        

Perform other duties as assigned.

Working Conditions

Functions in a typical office environment. Occasional travel to annual conferences.

Preferred Qualifications

  • College/university administration, preferably in a registrar’s office or information systems role.
  • Familiarity with policies and procedures of a university, specifically those that relate to academic records and registration.
  • Experience with educational technologies in class and/or room scheduling.
  • Experience with process improvement, organizing others’ work and/or staff supervision.
  • Ability to work well under pressure and with composure. Demonstrated analytical and problem-solving skills.
  • Ability to work independently as well as part of a team with shared work, both within and beyond the office. Ability to collaborate effectively with various constituencies.
  • Strong communication skills.
  • Strong organizational skills with the ability to balance priorities effectively in a busy environment.
  • Demonstrated ability to use good judgment.
  • Ability to learn new technology.
  • Background in basic reporting tools.​

Bachelor’s degree and three years’ related experience in education, or equivalent.
