About the role

Overview

Seeking applicants for a Staff Assistant III to perform a variety of administrative support and/or secretarial duties in support of the Animal, Dairy and Veterinary Sciences Department Head, Associate Department Heads, and ADVS department members.

Responsibilities

  • Researches information, compiles statistics, and gathers, computes, and analyzes various data and sources.
  • Prepares reports, summaries, and meeting minutes.
  • Advises and directs other support staff; assigns workload and reviews work for accuracy and completeness.
  • Provides administrative support to department management, including scheduling appointments and coordinating meetings and conferences.
  • Assists with various projects and assignments as needed.
  • Communicates departmental/division policies, procedures, rules, and regulations.
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, appointment scheduling, and other general duties as assigned.
  • Updates website content.
  • Manages departmental leave and processes departmental performance evaluations.
  • Processes ADVS documents through AdobeSign.
  • Processes and controls key and proximity card requests for students and employees in the AGRS, ATRC, and UVDL budlings.
  • Advises and directs other support staff; assigns workload and reviews work for accuracy and completeness.
  • Serves as Graduate Program Coordinator by tracking progress of ADVS graduate students, managing graduate student files, assisting graduate students with paperwork and forms for Graduate School, and providing other assistance to the Graduate Program Director and Graduate Programs Committee.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

  • Four years of experience in an office setting; OR an associate degree/technical training plus two years of experience; OR a bachelor’s degree is required.

Preferred Qualifications:

  • Experience in a busy office setting.
  • Experience serving student needs.
  • Excellent communication skills.

Knowledge, Skills, and Abilities:

  • Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
  • Ability to train, instruct, and supervise lower level staff.
  • Excellent critical thinking skills.
  • Knowledge of departmental/division policies, procedures, rules, and regulations.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
