Job Summary

Reporting to the Associate Vice President, Operations and Administrative Services, the office administrator is responsible for greeting and providing assistance to all visitors. This individual maintains primary responsibility for the front desk, phones, payroll processing and general supply of office materials and facilities onsite Monday through Friday, 9-5 pm. Must have a proven track record in managing processes with multiple demands while adjusting to changing deadlines and priorities. Exercise judgment, discretion and diplomacy to perform duties with minimal direct supervision. Must be able to manage special projects from multiple departments to ensure the efficiency and smooth operation of the Foundation. Ability to use audio/visual equipment and proficient skills in Microsoft Office Suite to complete projects as assigned.

Additionally, the Administrative Coordinator is responsible for ensuring compliance with all regulatory requirements. Performs multi-department/unit administrative activities including, scheduling, performing duties such as invoice recordkeeping, Krono's, coordination of meetings, meeting minutes, and conferences, obtaining supplies, and working on special projects. Supports CHOC’s strategic plan and goals and direction of the performance improvement plan.

Pay Range

Minimum $23.08 Midpoint $30.59 Maximum $38.09

Rate of pay is determined by various factors, including but not limited to knowledge, skills, competencies, experience, education, as well as position requirements.

Experience

* Required: Minimum two (2) years of clerical or administrative support experience

* Preferred: Minimum two (2) years of experience in healthcare.

Education

* Required: High School Diploma/GED or equivalent.

Training

* Required: Basic typing/computer experience such as Microsoft Word, Excel, and PowerPoint required.

Specialized Skills

* Required: Ability to exercise good judgment and critical thinking skills. Possess project management skills and proven ability to complete tasks. Excellent interpersonal skills, with the ability to interact with all levels of associates and establish cooperative relationships. Excellent written and verbal communication skills. Ability to recommend changes in procedures to improve the survey preparedness process. Ability to advocate for safety for associates, physicians, patients and visitors. Excellent verbal and written communication

skills; excellent critical thinking, judgment, and problem-solving skills. Ability to perform and prioritize multiple tasks effectively and efficiently Excellent time management, and organization. Ability to take initiative and follow through.
