Administrative Assistant - Shipping - Asta

Overview

Provide administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, and answering telephone calls, and scheduling meetings.

Responsibilities

• Assist shipping manager in preparing daily flatbed, hotshot, milkrun and LTL shipments, checking for holds and change orders.
• Contact various hotshot carriers for truck availability and establish daily carrier list.
• Train or assist in the training of all new shipping office personnel.
• Attend production meetings as necessary.
• Monitor KeepTruckin ELD dashboard to confirm driver compliance.
• Contact customers, installers and carriers in preparation of shipments.
• Fill in for shipping manager in his absence to ensure a continued and smooth shipping process.
• Audit CC statements for accuracy prior to shipping manager approval.
• Monitor shipping calendar to ensure it is updated as paperwork is completed.
• Monitor COD shipments, COD log and tracking.
• Maintain driver files including maintenance records.
• Assist with the processing of shipping paperwork for drivers.
• Open, sort, and distribute incoming correspondence, including faxes and email.
• Contribute to team effort by accomplishing related results as needed.

Qualifications

• High school diploma required. College degree in business preferred.
• Three to five years previous work-related skill, knowledge, or experience.
• Discretion and maturity required to maintain confidential information.
• Intermediate computer skills required; Outlook email, Word, Project, Excel.
• Must be able to communicate clearly and professionally on the telephone and in person.
