Your Specific Responsibilities:

This position is a clerical support position that reports directly to the Office Operations Manager Supervisor. This position is responsible for client processing and assisting nursing staff for all assigned clinics including but not limited to : Greeting and registering new and existing clients. Update client demographics data each visit using HMS systems. Verifies payment source each visit to include; Medicaid, with FMMIS System, appropriate economic evaluation or insurance. Counsel’ clients on HIPAA, information release forms for billing purposes, and release for medial information, consent for care and contact information. This position will be assigned to any clinic and to medical records, as needed at the direction of the supervisor, to provide support to team members or coverage of their absence. This position is responsible for checking out cash boxes to vitals, and cashiers.

This position will be responsible for answering incoming telephone calls. They will reroute/ transfer calls appropriately. They will document any messages to medical providers in each client’s charts and tag the appropriate person to review. They will schedule clients in the appropriate clinics. They will be responsible for explaining and completing the eligibility determination to clients. They will verify client’s insurance. Once eligibility is determined they will assist clients who are eligible for pregnancy Medicaid, Primary Care, Family Planning Services, Ryan White Services, The Florida Breast and Cervical  Cancer Early Detection Program, State Insulin program, and State Epilepsy program. Print out shot records from Florida Shots. This position will be responsible for receiving and sending records from outside providers. They will initiate signed consent when appropriate. They will process subpoenas for records and all other records request.  They will be responsible for scanning all records in patient’s charts and tagging the appropriate medical provider for any lab results and diagnostic testing results, when appropriate.  The incumbent will be responsible for operating and keeping up the Efaxes for medical records, referrals, and vitals when needed.  They will use copier, scanner, and shredder in conjunction with daily duties

Vital Statistics -This position will be Deputy register for Vital Statistics. They will verify accuracy of all submitted death certificates before completing submission to state office. They will issue birth and death certificates according to state regulations through E-Vitals. They are responsible for  vital statistics monthly inventory, log, safety paper counts, and security. They will be responsible for processing payment for services, providing change, issuing receipts, and managing, change fund according to policy.

Hedis -Will coordinate with Conviva and all insurance providers, that issue Hedis measures. They will review all weekly reports. They will assist with scheduling hospital and ER follow up appointments that are listed on the HIE reports. Scheduling clients that have no appointments or need to establish care. They will assist with scheduling different Hedis measure events like eye exams, bone density, and any other testing recommended by insurance carrier. Will keep track of APDs needed for upcoming appointments, and all APDs completed by our providers. They will coordinate with the nurses, for medication adherence. Will perform all other duties as assigned.

Backup to the following roles.

Referrals - The incumbent will assist clients with any referral questions. They will complete any inhouse referrals, and referrals received from outside providers when appropriate. All STAT referrals will be submitted to insurance carriers in a timely manner.

Check-out Cashier - The incumbent will complete the check-out process in HMS and Eprogress and collect copays at the end of the clients visit when it is appropriate. They will schedule clients for any other services that are recommended by their providers. Encourage clients to complete client satisfaction surveys and collect and distribute as directed.
