The Graduate Admissions team, comprised of Administrative and Staff personnel, functions to assist the Office of Admissions, as well as the College of Graduate Studies in successfully running the day to day operations necessary to support gradate education at USF. This team works closely with administration, faculty, postdocs, students, and staff across campus in order to attain the goals and mission set forth by USF.
The Admissions Team Administrator manages a client service team of Admissions staff by distributing workload, monitoring team production, insuring organizational goals are met and maintaining responsibility for the overall management of specified Admissions services.
This position typically reports to an Associate Director, Assistant Director or other appropriate administrator. This position provides management for an Admissions team and requires the ability to supervise, train, and monitor employee performance. The Admissions Team Administrator must maintain substantial knowledge of admissions processing procedures and regulations. The incumbent must be able to interpret admissions policies and procedures in order to properly trouble shoot unusual problems while maintaining university, state and federal compliance. This position is responsible for communicating regularly with students, parents, co-workers and other universities. The Admissions Team Administrator is an exempt level position and is expected to exercise a high degree of independent judgment.
Supervise assigned Graduate Admissions Coordinators, staff, and students. Provide training and evaluations for new employees, as well as ongoing training and professional development for staff. Recommend and set priorities for the management, planning, organization, and training of the Admissions team. Maintain expected goals and application processing timelines. Run reports on applications for assigned majors and colleges to effectively manage workload and that of reporting staff. Ensure the application and data processes are streamlined so that students receive timely decisions.
Manage the processing of graduate applications for one or more colleges, including reviewing and updating data and documents in Banner/BDM; communicating with applicants and graduate departments to gather or refer necessary information; and responding to questions from applicants and department staff regarding policies, procedures, and application status. Recommend and set priorities for the training of Admissions staff in target populations. Communicate university and program requirements to prospective students and families in person and virtually (via phone and email). Manage interactions with prospective students and applicants
through the Customer Relationship Management (CRM) system.
Maintain up-to-date knowledge of university policies and procedures, and make recommendations regarding them, as well as local admission rules that specifically affect the admission and enrollment of graduate students. Monitor and ensure the confidentiality of applicant records and credentials. Identify and refer documents containing highly confidential, personal, or sensitive information to the Associate Director or appropriate supervisor.
Collaborate with the Director, Associate Directors, Assistant Directors, and other team leaders to develop and implement unit procedures, including the processing and assessment of applications, academic credentials, and supporting materials for admissibility from identified subpopulations of graduate applicants. Initiate and respond to inquiries from staff and students that are complex and/or require research or independent judgment.
This position requires a Bachelor's degree in Higher Education, Administration or related field. A Master's degree in Higher Education or related field is preferred. This position requires a minimum of three to five years of experience in areas associated to Higher Education and management. Knowledge of enrollment and registration processes and use of Banner/OASIS is required. Knowledge of USF, sate and federal policies regarding undergraduate admissions is necessary. Work experience in an academic environment, the use of a personal computer with multiple software applications, supervisory experience in an office setting and experience working with college-bound students and
parents is also required. Excellent written and verbal communication skills are essential.
