Join us.</p><h3>Job Description</h3><p>We are currently looking for an experienced <strong>Senior Payroll Specialist</strong> to manage end-to-end payroll processing, based in Warsaw. This role will form part of the wider European Payroll Team.</p><p>In this Role you will be supporting 300 employees across Poland as part of our Global Business Services team. AECOM offer a hybrid working model, with at least 3 days in the office.</p><p>As a Senior Payroll Specialist you will have in-depth knowledge of local regulations and statutory requirements. Interpret new legislation impacting payroll and ensure payroll systems are up to date. The position has the following responsibilities:</p><p>Payroll Production:</p><ul><li>Manage the end-to-end monthly payroll process which includes producing, collating, and uploading data to our managed service payroll provider</li><li>Ensure payroll accuracy, completing all required fields within the payroll tool and meeting payroll deadlines</li><li>Process all wage type payments, payroll deductions and requests for out-of-cycle payments</li><li>Responsible for the monthly payroll reconciliation with Finance and any necessary research</li><li>Review reports and employee payslips and reconcile discrepancies prior to payroll release</li></ul><p>Payroll Reporting and Compliance:</p><ul><li>Manage the monthly payroll reporting, ensuring key stakeholders are kept up to date</li><li>Monthly data reconciliations between ADP Celergo and Workday to ensure that both systems remain synchronised</li><li>Payroll audit and compliance management - conduct regular payroll process audits</li><li>Support internal and external compliance audits</li><li>Batch entry into the Oracle finance system of all non-package rate payments</li></ul><p>Employee Support:</p><ul><li>Be the point of contact for payroll queries and liaise with the People Services, finance and Global Mobility teams as appropriate</li><li>Weekly Payroll surgery (in the office) to meet with employees with complex queries and concerns</li></ul><p>Communication between teams:</p><ul><li>Communicate clear deadlines to the HR (Human Resources) team, employees, and managers.</li><li>Produce ad hoc reports for benefits, vendors, and year end reporting.</li><li>Support the team with wider HR projects including annual salary review, talent development etc.</li></ul><p>Third Party Payments:</p><ul><li>Process monthly invoices for payroll and benefits providers.</li></ul><h3>Qualifications</h3><p>The following will be required for this role:</p><ul><li>Bachelor’s degree in Employment and Labour Relations or similar</li><li>Demonstrated experience in payroll production and data management</li><li>A full working knowledge and demonstrable experience of advanced Excel.</li><li>Self-motivated and proactive with the ability to juggle a demanding workload and manage priorities.</li><li>Experience of working within a busy administrative team.</li><li>Strong communication skills; able to communicate at all levels of the business</li><li>Ability to collaborate effectively as a team and lead on own initiative.</li><li>Strong attention to detail and the drive to get things right first time.</li><li>Experience of ADP Celergo and Workday is desirable</li><li>Excellent English written and verbal communication skills are essential</li></ul>
