Job Description

The Olympus OSTA business is looking for an energized, talented, and collaborative team member to immerse into the product development lifecycle experience!
The Project Portfolio Manager will be responsible for coordinating, managing, and overseeing day-to-day activity of the OSTA regional Project Management Office (PMO). The responsibilities include oversight of portfolio data integrity, team and leadership communication, and resource management maintenance. The scope of duties is approximately 75% analysis, and 25% process management.
The Project Portfolio Manager will be accountable to ensuring inputs to the Project Portfolio Management (PPM) system are timely and accurate, per defined processes, to support analyses outputs and decisions. The ideal candidate will perform analyses that monitor information accuracy and manage the flow of information providing support to a broad range of projects of strategic importance to Olympus. The ideal candidate will become a key driver to the operational excellence of the PMO.
Job Duties
- Partner with PMO leadership to socialize short- and long-term capacity and resource gaps and constraints as part of the resource allocation maintenance process.
- Provide relationship management and enhancements with the broader cross-functional business partners and locations.
- Identify patterns/trends in data and potential causes for concerns such as under/over- allocation of resources.
- Drive portfolio infrastructure accuracy (directly and indirectly), internal stakeholder information awareness, and coordination of regional management review meetings (including execution and reporting).
- Take a prominent role in strategic business plan (SBP) and resource allocation processes (RAP). Provide continuous consultation to PMO leadership.
- Coordinate and facilitate rPAB information (meetings and reporting) in conjunction with rPMO leadership; ensure timeliness and accuracy of information, and coordinate participation of appropriate presenters and stakeholders.
- Work closely with Program Managers to align on project updates (start/end dates, resource needs, change request impacts, etc.), and communicate allocation gaps with portfolio leadership to optimize resource planning decisions.
- Analyze project resourcing actuals versus plan to improve accuracy of project resourcing estimates by department. Work with Finance and Heads of Departments to capture project resource allocations and demand estimates.
- Manage required project resource requests and fulfill project allocation needs aligned with Program and Functional managers.
- Support Functional Managers to track resources by skillset to ensure and maintain reasonable capacity levels and timing to support projects.
- Enable compliance of the gPMO Business Review Deliverable (BRD) standards; support the process to monitor the progress and review of the BRDs
