Overview

The Lead Medical Assistant (Lead MA) in the OB/GYN Dept provides advanced clinical and administrative support while serving as a leader and resource for medical assistant staff across obstetrics and gynecology services. This role ensures efficient clinic operations, promotes high-quality, patient-centered care for women across the lifespan, and supports departmental goals through coordination, training, and collaboration. The Lead MA functions as both a clinical expert and liaison between providers, staff, and leadership to enhance workflow, patient satisfaction, operational excellence, and quality outcomes.

 

The Lead MA plays a key role in optimizing clinic performance through proactive workflow management, staff support, patient experience initiatives, and compliance oversight. This position supports care delivery across a broad spectrum of OB/GYN services including preventive care, prenatal and postpartum care, gynecologic conditions, and in-office procedures. The Lead MA contributes to maintaining efficient patient throughput, supporting quality improvement initiatives, and fostering a safe, respectful, and patient-centered environment across all clinic locations.

 

The Lead Medical Assistant (MA) will serve in a key leadership role within the department, with responsibility for cross-training in each specialty area to ensure comprehensive knowledge of workflows, procedures, and specialty-specific clinical requirements. This includes developing working knowledge across all OB/GYN subspecialties and service lines (e.g., general gynecology, obstetrics, family planning, menopause care, and procedural services) to support consistent, high-quality care delivery. The Lead MA will float between specialties as operational needs require, providing coverage, supporting team efficiency, and maintaining continuity of care.

 

In addition, the Lead MA will play a central role in onboarding and training new medical assistants and clinical staff, ensuring competency in OB/GYN workflows, clinical procedures, documentation standards, and patient-centered communication. The Lead MA will support ongoing staff development through education, skills reinforcement, and mentorship.

 

The Lead MA will also act as the department’s Infection Control Champion, promoting adherence to infection prevention protocols, reinforcing best practices in hand hygiene and equipment cleaning, supporting staff education, monitoring compliance, and serving as a liaison between clinical staff and organizational infection prevention leadership to ensure a safe environment for patients and team members.

 

Travel will be required to all office locations and OB/GYN service areas to meet departmental needs.

Responsibilities

Leadership, Training, and Operational Oversight – 35%

  • Participate in the implementation of departmental and organizational policies and procedures.
  • Promote the mission, vision, and goals of the OB/GYN department.
  • Collaborate with leadership to maintain efficient clinic workflows across OB/GYN services.
  • Serve as an Electronic Health Record (EHR) Super User for providers and staff.
  • Oversee completion and quality of clinical documentation.
  • Provide end-of-day operational reports to leadership.
  • Conduct routine audits including chart audits, medication reconciliation, and workflow compliance.
  • Lead onboarding and structured training of new medical assistants and clinical staff across all OB/GYN specialty areas.
  • Cross-train staff to ensure competency in obstetric, gynecologic, and procedural workflows.
  • Provide ongoing education, skills validation, and mentorship to maintain staff competency.
  • Monitor clinic flow, patient throughput, and room utilization.
  • Identify workflow gaps and assist with process improvement initiatives.
  • Support scheduling optimization, template management, and provider efficiency.
  • Assist with staffing coordination and daily operational needs.
  • Serve as a mentor and resource to medical assistants.
  • Participate in staff meetings, provider meetings, and quality improvement initiatives.
  • Monitor and support departmental quality metrics and patient safety initiatives.
  • Ensure compliance with infection prevention, regulatory, and safety standards.

Clinical Patient Care and Procedural Support – 55%

  • Provide individualized patient care and education across OB/GYN services.
  • Prepare charts for visits, including review of prenatal records, screening tests, and prior history.
  • Obtain medical histories, including obstetric, gynecologic, and sexual health histories.
  • Record vital signs, including pregnancy-specific assessments as appropriate.
  • Prepare patients for examinations
