Assoc. II, Administrative Services GPAM, Job Description:
Global Project and Alliance Management (GPAM) is part of the Research and Development organization at our Company, which is also referred to as our Company's Research Laboratories. GPAM is comprised of Project Managers in Value & Implementation, Development, and CMC; Discovery Portfolio Managers; Alliance Managers; Project Management Office (PMO); and Administrative Professionals (which is this job).
Position Description/Summary:
Advancing scientific innovation requires strong project management and administrative support to help translate ideas into meaningful impact for patients. Embedded across the GPAM organization, our Administrative teams enable collaboration, support operational excellence, and help move important R&D and patient access initiatives forward for our Company.
This position is based in Rahway, NJ or Upper Gwynedd, PA. Under the direction of a Director in GPAM, this role provides advanced administrative and coordination support to help ensure effective planning, communication, and execution of business activities and special initiatives.
Primary Responsibilities:
Provides high-level administrative support to GPAM leadership.
Manages complex calendars, meeting scheduling, and related logistics across multiple priorities.
Coordinates meetings, special projects, and follow-up actions to support timely execution.
Prepares reports, presentations, spreadsheets, tables, correspondence, and other documents using appropriate software.
Communicates effectively with internal and external stakeholders to support workflow and issue resolution.
Conducts light research and compiles information to support business needs.
Works independently and collaboratively to complete assignments with accuracy, discretion, and sound judgment.
Performs SAP transactions, including expense reports, purchase orders, payment requests, and vendor add forms.
Manage end-to-end travel planning including flights, hotels, ground transportation, meeting logistics, and itinerary coordination while ensuring compliance with company policies.
Actively contributes to a positive team culture by organizing engagement opportunities, recognizing team achievements, and supporting knowledge sharing.

Education:
High school diploma or equivalent
Preferred: Associate’s degree or higher
Required Experience, and Skills:
Minimum of 5 years of administrative assistant or executive administrative experience.
Advanced proficiency in Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
Demonstrated experience scheduling and coordinating meetings and calendars.
Strong professional communication, organizational, and problem-solving skills.
Experience with SAP transactions, including expense reports, purchase orders, payment requests, and vendor add forms.
Coordinating Travel, Domestic and International.
Preferred Experience and Skills:
Executive administrative experience supporting leaders at the Associate Director, Director, Executive Director, Vice President, or above level
Experience supporting project coordination in a matrixed or R&D environment

The salary range for this role is:
$68,000 - $107,000
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.
The successful candidate will be eligible for annual bonus and long-term incentive, if applicable.
