Under general supervision of the Kershaw County Office Manager, you will manage access to clinical records via the EMR in accordance with HIPPA, SCOMH and Santee-Wateree MHC policies and procedures. Assist with the other administrative tasks as needed by the office manager, counselors, doctors, and nurses of the Kershaw Adult and CAF Services Clinic. Serves as backup as needed for smooth operations.
Responsibilities for the Administrative Specialist II:
- Check out clients with the appropriate staff.
- Make sure clients are scheduled with the nurse as needed.
- Make sure clients have appointments with all necessary staff.
- Cancel and reschedule clients with appropriate staff.
- Maintain a cancellations list for all staff.
- Send out new appointment and cancellation letters to clients that are unreachable via phone.
- Review prescriber’s schedules to make sure they are fully booked.
- Collect payments from clients that have a bill. Have clients fill out the in-house or telehealth surveys regarding services.
- Assist with intakes in opening cases, getting consent forms signed and going over the orientation hands.
- Sorting and filing incoming faxes. Maintaining the fax / photocopier with paper.
- Comply with SCOMH Corporate Compliance Plan and SWMHC Corporate Compliance policy and documentation practices are in compliance with policy.
