Job Summary: The Program Manager is responsible for supervising the outpatient program and personnel, ensuring that all methods of practice and work performance conform to established policies and procedures.
Responsibilities and Duties:
- Maintains administrative and clinical oversight of outpatient program.
- Serves as a spokesperson for the department and performs liaison functions with other departments.
- Monitors clinical practice and provides supervision and direction.
- Performs chart audits to ensure clinical record is compliant with regulatory, accrediting, licensing and single county authority requirements.
- Conducts departmental meetings and weekly clinical supervision and maintains appropriate documentation.
- Fosters an interdisciplinary team approach in coordinating services for patients.
- Helps to ensure healthcare equity.
- Ensures patients receive quality care.
- Assists in the evaluation, planning, and implementation of department goals and objectives.
- Supports marketing initiatives including community outreach efforts and participation in local events that publicize the site and its services.
- Establishes relationship with local referral sources.
- Addresses department concerns and complaints and notifies the appropriate staff when situations arise beyond scope of expertise.
- Participates in the establishment of clinical programming and policies.
- Maintains a patient caseload and performs all functions of a counselor.
- Performs assessments when needed.
- Reviews and completes patient letters and other report requests.
- Delivers a lecture to residential patients regarding outpatient services in conjunction with the other program managers.
- Reviews the banking once completed by the office manager in addition to monitoring adherence to payment plans, and other client financial responsibilities.
- Reconciles invoices for site services and goods.
- Serves as the contact person for 12-step and other support meetings at their site.
- Conducts and documents monthly fire drills and safety inspections, maintains productivity and other requested reports, and fulfills additional requests from upper management.
- Performs other related duties as assigned.
Supervisory Responsibilities:
- Responsible for staff performance, development, and retention.
- Provides constructive and timely performance evaluations.
- Handles corrective action and termination of staff in accordance with organization policy.
- Ensures staff receive the necessary training and support.
- Assures staff meet the requirements for licensure or certification.
- Conducts interviews and hires new staff.
- Oversees the daily workflow of the department.
- Confirms staff training compliance is met.
- Ensures proper and timely submission of timecards for payroll processing.
- Ensures appropriate staffing and provides coverage if necessary.
- Responsible for effectively utilizing all site resources.
- Ensures adequate coverage for scheduled and unscheduled absences or departures.
- Ensures staff training compliance is met.
- Assesses staff and patient safety.
- Performs other related duties as assigned.
