JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Donald P. Bellisario College of Communication at the Pennsylvania State University is seeking an experienced Administrative Assistant to assist in fundraising efforts and to directly provide support to the Director of Development and the Division of Development and Alumni Relations. This position reports to the Assistant to the Director of Administration.

Key Responsibilities:

  • Oversee the activities of the DDAR department: serve as the primary point of contact and representative for the resolution of inquiries (internal and external); establish and assign priorities; develop processes and procedures for assigned area. 
  • Oversee the operations and logistics of the DDAR systems.
  • Ensure schedules are maintained and deadlines are met; prepare meeting materials.
  • Compose, edit, and proofread correspondence, reports, briefings, and other supporting materials.
  • Work within the Division of Development and Alumni Relations restricted systems to support the unit.
  • Review and approve financial transactions within established guidelines
  • Coordinate office equipment purchases and material. 
  • Analyze information for specials projects and reports; provide articles and conference materials for gift officer support.
  • Assist in the coordination and implementation of donor and alumni events, including travel, lodging, meals, etc.
  • Coordinate and process all unit travel and SAP reimbursement this includes all goods and service purchases.

Education and Experience:
This job will be filled as a level 3 or level 4, depending upon the successful candidate's competencies, education, and experience. A level 3 typically requires a High School Diploma or higher plus 2 years of related experience or an equivalent combination of education and experience. Additional experience and/or education and competencies are required for higher level jobs.

Candidates should also be highly motivated and detail oriented.
