Position summary:
The purpose of this position is to provide extensive secretarial skills for the performance of duties of a complex nature requiring frequent use of discretion and independent judgment. The professional support assistant is responsible for serving in an overall secretarial capacity to the Health Sciences division.
Position responsibilities:
- Creating and maintaining a professional office environment with regular attendance of a full-time work day. Limited overtime hours may be required as necessary.
- Supporting the division by performing related office duties such as answering the phone, sorting and distributing mail, greeting and screening visitors and student.
- Maintaining office files, records and information such as personnel files, budget records, instructional rosters and office hour logs, etc.
- Participating in the planning, evaluation, and improvement of office procedures.
- Communicating regularly, effectively, courteously and professionally with faculty, staff, students, and visitors in person, on the telephone, and via e-mail.
- Taking and preparing minutes for various committees and meetings.
- Preparing various reports, materials, and other projects as requested.
- Maintaining and purchasing office supplies.
- Assisting with registration activities such as registration input and schedule changes.
- Assisting departments and clubs within the division with special events/projects.
- Other related duties as assigned.
- Minimum of a one-year certificate in office professions, business, accounting or a related field and three years full time office experience.
- Related professional experience will be considered in lieu of formal education. Must possess excellent written and verbal communication skills.
- Have outstanding computer skills to include proficiency in word processing, spreadsheet, PowerPoint, Adobe Acrobat, and database applications
- Able to interpret and apply administrative policies and procedures.
- Well organized and thorough.
- Able to work well with little supervision and relate well to a diverse student and faculty population.

- Work is normally performed in a typical interior/office work environment.
- No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds.

- Provide resources for safe operation of units. Create and support workplace safety.
