Fred Hutchinson Cancer Center Facilities Engineering department is a 24/7 team that manages all owned facilities on the South Lake Union campus. This position reports to the Facilities Engineering Administrative Manager. This position is primarily responsible for running the Customer Service desk during business hours. This position will handle all the closing of work requests, which entails ensuring that the appropriate information has been entered and the correct budget has been charged. Additionally, this position will assist the Program Coordinator with various tasks, including taking telephone requests, managing Engineering email inbox, vetting the incoming work requests via our work request form, and maintaining the Facilities Engineering schedule and emails in our engineering inbox.

 

This position will be fully onsite M-F 8:30am - 5:00pm. 

Responsibilities

  • Makes key decisions on completed work requests to determine if the request contains the correct budget and chargeback information and closes work orders on a daily basis.
  • Receives customer calls for service and various requests over the phone and at times via our Engineering email inbox or work order request form.
  • Analyzes work requests and determines the appropriate individual to respond, and the needed urgency of the response, then dispatches the appropriate individual/individuals via radio.
  • Enters the request information into the work request system.
  • Provides back-up to the Program Coordinator on maintenance of the Engineering schedule spreadsheet. Meets with Program Coordinator (and occasionally Admin. Manager) on a weekly basis to review spreadsheet and ensure shift coverage.
  • Files vendor invoices and various correspondence at the request of the Admin. Manager.
  • Enters campus event information into the Engineering Outlook calendar and sends correspondence of activities to department.
  • Creates files and labels for incoming employees and maintains our employee files.
  • Stocks and procures Engineering office supplies.
  • Works independently on various complex administrative responsibilities.
  • Work independently on assigned projects.
  • Other duties as assigned.

Qualifications

Minimum Requirements: 

  • Requires a bachelor’s degree in a related field of study
  • Minimum of four years of experience in program-related specialty or field.
  • Must be able to work in a fast-paced environment with multiple moving parts.
  • Maintain composure during challenging situations.
  • Must have good people skills and the ability to communicate clearly both verbally and in writing.
  • Must be detailed oriented. 
  • Must have good data entry skills, be extremely accurate and well organized.
  • Must be computer literate and have MS Office skills.
  • A working knowledge of Facilities Maintenance desired.
  • Computerized maintenance management system experience is desired.
