About the Role
In order to achieve its ambition of serving 80,000-100,000 Fellows over the next decade, Braven is hiring a Director, Procurement & Facilities who will centralize and manage purchasing operations across the organization. As a member of the People & Operations team, you will collaborate across many departments to centralize purchasing, improve upon our vendor processes (RFPs and requisitions for various goods), and manage the facilities operations related to opening new offices and setting the standard across our existing offices.
This role is on the People & Operations team and reports directly to the Chief Financial & Operating Officer.
What You’ll Do
Purchasing Management - 70%
- Collaborate with other departments and leadership to identify and develop needs and requirements for equipment, supplies, swag, products, office operations, and acceptable substitutions.
- Assess current supplies and products availability; forecast future availability based on the operations, delivery systems, and other variables.
- Prepare and present cost reports.
- Prepare and process purchase orders and requisitions for swag, supplies, equipment, and other purchases, as needed.
- Draft, explain, and implement instructions, policies, and procedures for purchasing, Request for Proposal processes, and contract management.
- Review all purchasing contracts for financial terms aligned with the organization’s requirements and budget.
- Evaluate and approve conditions for issuing and awarding bids and manage RFP processes.
- Resolve grievances with vendors, contractors, and suppliers.
- Establish and maintain purchasing and recordkeeping systems.
- Act as the company’s representative in negotiations with vendors.
- Coordinate removal or disposal of surplus materials.
Facilities Operations - 30%
- Coordinate and facilitate office moves and updates, office supplies purchasing, lease renewals, and insurance requirements, along with other office-related requirements across all sites where Braven has employees.
- Collaborate with on-site staff to ensure offices and staff have the supplies, materials, utilities, and equipment necessary for day-to-day office operations.
- Manage two office managers - one in Chicago and one in New York City.
- Other duties as assigned.
Requirements
Minimum Requirements
- Bachelor's degree required.
- 5 years of experience in related fields, performing project management and operations
- 1-3 years of management experience
Preferred Qualifications
- Work Experience: 1-3 years in operations or procurement field
- Proven leadership skills with an ability to explain complex concepts clearly
- Experience with rolling out systems and processes, implementation, and change management
- Tailors approach based on an understanding of the beliefs, motivations, and contexts of others: Anticipates barriers to others’ support, and the important dynamics at play, and proactively navigates these
- Proactively develops strategically important relationships (vendors & internal stakeholders) and sustains them over time using a range of strategies
- Experience with securing vendors and building strong relationships on behalf of the organization
- Makes developing team members a priority (by spending time on coaching/feedback)
- Effectively coaches each team member, including across lines of difference
