About the role

 

Overview

 

Provide administrative and business analyst support for the Head of Global Quality Assurance, and for direct reports (as needed).  Represent the department as a prime contact, interact with internal and external personnel on matters often requiring coordination between departments. Works predominantly with internal colleagues, but may also require initial communications with recipients, healthcare providers, and executives from other Sonova companies.  Work is performed under general direction, however, he/she will plan and schedule their own activities in accomplishing assigned objectives.

 

 

 

What you’ll do:

  • Performs administrative duties such as setting up meetings, conference room scheduling, teleconferences, catered lunches, agendas and equipment setup and can juggle multiple complex scheduling and demands on time.
  • Performs administrative duties such as correspondence, copying, faxing and filing.
  • Assists with organizing workload of VP of Global Quality Assurance to ensure prioritization of workload demands.
  • Assists with the generation of various reports, documents and presentations, including Quality Management Review presentation, and assists with tracking department projects.
  • Coordinates travel arrangements, including airline, hotel and rental car reservations, including international.
  • Generate expense reports.
  • Assists with on-boarding department staff and with managing department training records.
  • Assists with managing various department initiatives/events (e.g. regular department meetings, employee recognition/morale events, etc.). Also monitors, orders and stocks office supplies, as required.
  • Authors document change requests.
  • Create analysis and working tools using Excel for projects as required.
  • Other tasks as assigned by line manager.

 

 

Travelling Requirement: up to 5%

Education

  • High School Diploma

Nice to Have

  • Bachelor’s Degree

 

 

Work Experience

  • 3+ years business and/or administrative assistant experience

Nice to Have

  • Experience working in medical device industry

  • Excellent organizational and analytical skills

  • English/ Proficient

  • Spanish and/or German  

 

 

IT Skills

  • Knowledge of OWASP-10 and SANS CWE-25

  • Salesforce

•   Proficient in Microsoft Word, PowerPoint, Excel and Outlook

Nice to Have

  • Working ability in Microsoft Access, Agile PLM, Docusign
