Description
Job Summary:
We are seeking a motivated, detailed-oriented Practice Outreach and Office Assistant for Dr.Ben’s cardiology clinic. This position involves providing administrative support to the cardiologist, managing office tasks, and coordinating educational outreach events at partner clinics or other healthcare facilities. To be successful in this role, you should have excellent organizational skills, be proactive, and can prioritize tasks and meet deadlines.
Responsibilities:
- Assist with creation and scheduling of social media content for Dr.Ben’s clinic.
- Assist in planning and coordinating off-site outreach events at other clinics or healthcare facilities.
- Support logistics for new product launches, including organizing materials, scheduling visits, and coordinating event setup related to Dr.Ben’s practice.
- Act as a liaison between the cardiology clinic and external medical practices to promote awareness of services and innovations.
- Manage administrative duties, including inventory tracking and supply ordering.
- Verify invoices related to inventory and third-party services.
- Handle correspondence, phone calls, and appointment reminders as needed.
- Provide daily administrative support to the cardiologist, including support to scheduling, coordination of clinic flow.
- Prepare documents, presentations, and communications on behalf of the physician or clinic.
- Serve as a point of contact for interoffice communications and assist with day-to-day office needs.
- Maintains filing systems either manually or electronically as assigned.
- Retrieves information as requested from records, emails, minutes, and other related documents; prepares written data summaries when needed.
- Coordinates and schedules meetings and appointments for Dr.Ben and vendors.
- Performs other related duties as assigned.
- May travel to other CLS Health clinics as needed.
Requirements
- Bachelor’s degree in healthcare administration, Business, Marketing, Public Relations, or a related field required.
- Equivalent combination of education and relevant experience may be considered in lieu of degree.
- Additional certifications in healthcare, office administration, or community outreach are a plus
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- One to two years of experience in a marketing role.
