The Financial Aid Coordinator monitors and reconciles all federal, state, and Institutional Financial Aid Program expenditures, and assists in the preparation of state and federal expenditure reports.
Ensures HCC compliance with federal and state regulations involving grants, loans and work-study; and provides guidance and assistance to other professional staff members in the proper administration of all student programs.
ESSENTIAL FUNCTIONS
Maintain a comprehensive working knowledge of all federal, state, and institutional sources of financial aid and the regulations that govern them.
Coordinate and develop internal control measures to ensure the College is managing its Student Financial Aid Programs in compliance with federal and state regulations.
Monitor and appropriately communicate changes in program-related legislation and regulations to appropriate parties.
Communicate with the Department of Education and the Texas Higher Education Coordinating Board to resolve student eligibility issuesReview program files periodically for accuracy and completeness; take appropriate action to correct errors and adjusts awards.
Monitor all College program expenditures and facilitates timely and appropriate reconciliation.
Assist in the preparation of the annual student expense budgets by program for packaging purposes.
Review, adjust and transmit PELL Grant awards to the Department of Education.
Utilize the query manager and report functionalities to generate Financial Aid Program reports.
Coordinate the collection of data required for the preparation of Financial Aid reports to US Department of Education (FISAP, COD), Texas Higher Education Coordinating Board (Financial Aid Database) and other agencies (TGSLC).
Maintain technical expertise in the operations, applications and updates in the information management system in order to assist College locations in optimum usage.
Monitor Financial Aid related web site information and appropriately communicates needed modifications.
Develop and conduct presentations about Financial Aid Program requirements, application processes, academic progress requirements, and eligibility requirements, etc. Ensure security, confidentiality, and safety of Financial Aid records, promissory notes, etc. Counsel students and parents regarding financial aid eligibility and application procedures.
Assist the Director of Financial Aid and Manager, Financial Aid with conducting program training workshops for the College Financial Aid staff.
May assist College Financial Aid staff with administrative operations such as overrides and account adjustments.
May monitor student academic progress for compliance with the Standards for Satisfactory Academic Progress to determine continued eligibility.
Train College Financial Aid staff on methods and procedures for properly calculating the Return of Title IV Funds.
Communicate with HCCS staff and other colleges and universities to resolve potential PELL Grant over awards.
Work closely with lenders, guarantee agencies, servicers, College Financial Aid staff, Business Office staff, and other College Departments.
Disseminate program deadline requirements to College Financial Aid staff to ensure agency reports are submitted in a timely manner.
Develop and maintain good relations with employees, department heads, and general public.
Serve as resource person to the Director of Financial Aid and Manager, Financial Aid on financial aid quality control functions and in the development of operational policies and procedures.

QUALIFICATIONS
Education & Experience
- Bachelor’s degree in related field required
- 3 years’ experience in a financial aid office (i.e. awarding financial aid, counseling/advising, accounting, federal/state administration, etc.)
- Banking experience working with student loans along with other financial aid experience may be considered
- Valid Texas Driver License
